Fines - terms and conditions
The below terms and conditions apply to all Loughborough Sport memberships.
Prior to purchasing a membership or making bookings with us you should read the terms and conditions carefully and be aware of our surcharges.
In the event of any dispute as to the meaning of the terms outlined above the Director of Sport or his nominated deputy’s reasonable interpretation of the terms is final.
Non-compliance with these Terms and Conditions may result in membership being withdrawn or cancelled. Exceptions to these Terms and Conditions will be at the discretion of Loughborough Sport Management.
Misuse Fines
1. Any individual found attempting to enter a facility using another member's card or phone will incur a £50 surcharge. If the individual is not a member, the charge will be added to their account, and access to sporting facilities will be denied until the surcharge is paid. Additionally, a £50 surcharge will be imposed on the account holder whose card or phone was used. Their access will be suspended until the surcharge is paid or proof is provided that the membership card or phone was reported lost or stolen to University Security.
Late cancellation fines
1. Members who cancel a booking within the late cancellation period will be charged the full pay-as-you-go price for each cancelled session. Charges apply as follows:
- Studio classes at SDW or Holywell, Swimming pool sessions, Recreational sport sessions - £5.50
- Gym floor classes at Holywell or Powerbase - £10.50
2. These charges only apply to members who receive the above sessions free of charge as part of their membership. Individuals with a free pay-as-you-go account will not incur an additional fee for late cancellations. However, they will forfeit the full amount paid for the session and will not be eligible for a refund or credit.
3. The late cancellation period for all above sessions is 1 hour. Bookings must be cancelled at least one hour before the scheduled start time to avoid charges or forfeiture.
4. Late cancellation charges will be automatically applied to member accounts the day after the late cancellation occurs. Note, no booking bans will be applied to a late cancellation and gym sessions aren't subjected to any late cancellation charges.
5. If a charge remains outstanding for more than 7 days, a rolling booking ban will be applied, meaning no further bookings can be made until this charge has been paid.
Fines for no-shows.
1. It is the responsibility of each member to check in using their membership card or the check-in feature on their phone to mark themselves as attended for their scheduled bookings. If a member fails to check in correctly or does not attend the session, it will be recorded as a no-show.
2. No-show charges apply to the following session types:
- Gym sessions
- Fitness classes
- Swim sessions
- Recreational sport sessions
3. The charge for a no-show is £5.50.
4. In addition to receiving a fine equivalent to the full Pay-As-You-Go rate , a 24hour booking ban will also be applied to the account. Both the fine and the ban will be applied the day after the missed session.
5. Any fines incurred due to failure to check in properly will not be removed or waived under any circumstances.
6. Members will be fully responsible for all fines resulting from no-shows.
7. If a charge remains outstanding for more than 7 days, a rolling booking ban will be applied, meaning no further bookings can be made until this charge has been paid.
Fines for Overstays
1. Session Timing and Equipment Use
- Users may enter the booked area at their allocated start time.
- Any equipment setup and clear-down must be completed within the booking time.
- Members must vacate the activity area promptly when their session ends.
2. Grace Period and Overstay Charges
- A 15-minute grace period applies to gym and class bookings.
- Staying beyond this grace period will result in a £5 overstay fine.
- To resolve this, members must go to the “Gym Overstay” tile in the “Book” section of the app and pay for an “exit pass” covering the next upcoming booking time.
3. Manual Charges
- If a member is unable to book or pay at the time, a manual charge will be added to their account.
- This charge must be paid before attending any future bookings.
- Failure to pay outstanding charges may result in the account being placed into a pending state, which will prevent further use until the balance is cleared.
Disputing a fine
1. If you believe a fine or booking ban has been applied in error, you may submit a request for review using the escalation form found here - Escalations Form .
2. All disputes must be submitted within 7 days of the fine being issued.
3. Submitting a dispute does not guarantee that the fine or ban will be removed.
4. The outcome of the review will be based on system records and attendance data. The university’s decision is final and will not be subject to further appeal.
5. Loughborough Sport will not compensate for any lost time resulting from loss of access due to booking bans or fines, regardless of the outcome of an appeal.
6. Refunds will not be issued for fines that have already been paid, even if a dispute is later approved. In such cases, a credit note will be issued instead.
