Trials and Training fees
These Terms and Conditions apply to all Loughborough Sport trials, athlete assessments, training programmes, academies, development pathways, and performance programmes operated by Loughborough Sport.
By registering for a trial or training programme, participants agree to these Terms and Conditions.
1. Definitions
Loughborough Sport means Loughborough University, its departments, employees, coaches, contractors, and authorised representatives responsible for delivering the programme.
Participant means the individual registered for a trial, assessment, camp, coaching session, training programme, pathway, academy, or performance programme.
Programme means any trial, assessment, camp, coaching session, development pathway, training activity, academy, or performance programme organised by Loughborough Sport.
2. Eligibility
2.1 Participants must satisfy any age, membership, experience, performance, or eligibility requirements specified for the programme.
2.2 Participants under the age of 18 must have parental or guardian consent before registering.
2.3 Loughborough Sport reserves the right to refuse or withdraw participation where eligibility requirements are not met or where participation may present a safety or welfare risk.
3. Registration
3.1 Registration is only confirmed once all required information has been submitted and any applicable fees have been paid.
3.2 Participants must ensure that all information provided is accurate and kept up to date.
3.3 Participants must notify Loughborough Sport of any changes to personal details, emergency contact information, or medical circumstances that may affect participation.
4. Trial Fees
4.2 Payment of a trial fee secures a place at the trial only and does not guarantee selection into any team, programme, squad, academy, scholarship, or performance pathway.
4.3 Trial fees are strictly non-refundable except where:
- The trial is cancelled by Loughborough Sport.
5. Selection
5.1 Selection decisions are made using criteria determined by Loughborough Sport and relevant coaching staff.
5.2 Selection decisions are based on factors including, but not limited to:
- Performance.
- Technical ability.
- Physical preparedness.
- Programme suitability.
- Behaviour and attitude.
- Commitment and availability.
5.3 Attendance at a trial does not guarantee progression, selection, scholarship funding, competition opportunities, or future involvement.
6. Training Fees
6.1 Training fees must be paid in accordance with the payment schedule provided at registration.
6.2 Failure to make payment may result in suspension from the programme until outstanding amounts have been settled.
6.3 Loughborough Sport reserves the right to review and amend fees for future programme periods.
7. Refunds and Withdrawals
7.1 Participants wishing to withdraw must notify the sports programs lead in writing.
7.2 Fees paid are non-refundable or transferable.
7.3 Loughborough Sport may, at its discretion, provide a pro-rata refund, credit, or pause where:
- A participant experiences a long-term injury or illness (minimum 4 weeks).
- The programme cannot be delivered as advertised.
7.4 Appropriate supporting evidence must be provided.
7.5 No refunds will be given for:
- Missed sessions.
- Academic commitments.
- Holidays.
- Transport issues.
- Changes in personal circumstances after registration.
8. Attendance
8.1 Participants are expected to attend sessions regularly and punctually.
8.2 Repeated absence without reasonable explanation may affect continued participation and, where applicable, selection decisions.
8.3 Missed sessions will not be replaced or credited.
9. Coach and Facility Changes
9.1 Loughborough Sport reserves the right to:
- Change coaches or support staff.
- Alter training times.
- Change training venues.
- Modify session content.
- Adjust programme structures.
9.2 Such changes will be made only where reasonably necessary to support programme delivery.
10. Health and Medical Information
10.1 Participants are responsible for ensuring they are medically fit to participate.
10.2 Relevant medical conditions, injuries, allergies, medications, or health concerns must be disclosed during registration and updated when necessary.
10.3 Loughborough Sport may refuse participation where it reasonably believes participation may present a risk to the individual or others.
10.4 Participants must immediately report injuries sustained during programme activities to a member of staff.
11. Conduct and Behaviour
11.1 Participants are expected to:
- Treat others with respect.
- Follow instructions from coaches and staff.
- Behave in a manner consistent with University values.
- Respect facilities, equipment, and property.
- Comply with safeguarding and welfare requirements.
11.2 Bullying, harassment, discrimination, abusive behaviour, misconduct, or unsafe actions will not be tolerated.
11.3 Serious or repeated breaches may result in:
- Warnings.
- Temporary suspension.
- Permanent removal from the programme.
11.4 Refunds will not be provided where removal results from misconduct.
12. Safeguarding
12.1 All participants must comply with Loughborough University's safeguarding policies and procedures.
12.2 Concerns regarding welfare, safeguarding, or wellbeing should be reported immediately to an appropriate member of staff.
12.3 Loughborough Sport reserves the right to take any action necessary to protect participant welfare.
13. Photography, Video and Performance Analysis
13.1 Loughborough Sport may capture photographs, video recordings, audio recordings, and performance data during programme activities.
13.2 Such content may be used for:
- Performance analysis.
- Coaching and development purposes.
- Education and training.
- Safeguarding.
- Marketing and promotion where appropriate consent has been provided.
13.3 Participants may opt out of promotional photography and marketing use in accordance with Loughborough University's privacy processes.
14. Personal Data
14.1 Personal information will be processed in accordance with applicable data protection legislation and Loughborough University's Privacy Notice.
14.2 Data may be used for:
- Administration.
- Programme delivery.
- Health and safety.
- Performance monitoring.
- Communication regarding services and opportunities.
14.3 Personal data will only be disclosed where permitted by law or where necessary for programme administration.
15. Limitation of Liability
15.1 Participation in physical activity involves inherent risks.
15.2 Nothing in these Terms and Conditions excludes or limits liability for:
- Death or personal injury caused by negligence.
- Fraud or fraudulent misrepresentation.
- Any liability which cannot be excluded under applicable law.
15.3 Subject to clause 15.2, Loughborough Sport shall not be liable for indirect or consequential loss arising from participation in the programme.
15.4 Participants remain responsible for personal belongings brought to sessions or events.
16. Force Majeure
16.1 Loughborough Sport shall not be liable for delays, postponements, interruptions, or cancellations arising from circumstances beyond its reasonable control, including:
- Extreme weather.
- Industrial action.
- Epidemics or pandemics.
- Government restrictions.
- Facility closures.
- Utility failures.
- Safety concerns.
16.2 Where appropriate, alternative arrangements, credits, or refunds may be offered.
17. Complaints
17.1 Complaints should be submitted in writing to Loughborough Sport as soon as reasonably practicable.
17.2 Complaints will be investigated and handled in accordance with relevant University procedures.
18. Amendments
18.1 Loughborough Sport reserves the right to amend these Terms and Conditions where reasonably necessary.
18.2 Material changes affecting participants will be communicated through appropriate channels.
19. Governing Law
19.1 These Terms and Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.
19.2 Any disputes arising from these Terms and Conditions shall be subject to the jurisdiction of the courts of England and Wales.
