You will have the option to support either the Events Team or Academic Registry. Details of expected jobs for both teams can be found below:
Team Loughborough – Academic Registry
The Academic Registry Team need volunteers for the following roles:
- Registration desk (in Holywell Conference Centre) – allocating students their seating cards and guest tickets. The registration desk opens two hours before each ceremony starts and will be staffed by a small team of people. We will have AM (8am-11.30am) and PM (usually 11.30am-3pm) shifts each day.
Then for each ceremony (at 10.30am and 2.30pm each day), in the Sir David Wallace Sports Hall:
- Hall Marshals – one team member to ensure that students leave their seats at the appropriate time and line up to cross the stage; one team member to ensure that the students then return back to their seats; and one team member to issue certificates to the students once they have walked across the stage.
- Platform Marshals – largely ceremonial roles, involving assisting with and joining the procession and guiding individuals to their seats of the stage. Each ceremony will also need a mace bearer, to carry the University mace.
- Fire Marshals – assisting students and guests to evacuate the Sir David Wallace Sports Hall in an orderly fashion should the need arise.
Training will be provided for platform and hall marshal roles on Wednesday 11 December at 3.30pm, and you must be able to attend this if you haven’t helped with these roles previously.
These roles are limited and we might not be able to accommodate everybody but will let you know whether we can offer you a role.
Team Loughborough – Events Team
Roles with the Events Team will include and not limited to welcoming guests, providing directional support, helping queue management, supporting with ceremony/drinks reception logistics etc.
There are a number of different shifts available to suit different work patterns:
- 7.30pm - 12pm
- 8am - 12pm
- 9am - 11pm
- 11am - 2pm
- 12pm - 3pm
- 12pm - 4pm
- 1pm - 4pm
- 3pm - 5pm
Depending on the role, there may be some flexibility with start/finish times, so even if you can’t do a full shift we’d still love to hear from you as we might still be able to find something suitable.
All staff working a shift will be entitled to drinks vouchers throughout the day. Any staff working full or longer days will be entitled to a free lunch voucher.
You’ll also have a Team Leader in each area to support you throughout the shift, and to be on hand to answer any guest questions you’re unsure of. A full briefing document will also be provided in advance detailing what is expected of you and with all of the key information needed.
