Cisco Jabber

Jabber is an instant messaging service and phone integration application that enables you to contact staff members at the University.

The Cisco Jabber software package is already installed on University Windows 10 computers and is ready for you to try and use. If you are able to use the chat feature, but not the telephone feature, please contact the IT Service Desk to get the telephone feature enabled for you. 

When logging into Jabber using your user credentials please ensure to log in correctly by entering your Loughborough University AD username followed by “@lboro.ac.uk” and click on "Sign In".

If you cannot find the software or have removed it previously, it can be re-loaded from Software Centre.

Instructions and User Guides

Please only follow these instructions and download Cisco Jabber if you manually need to install Jabber onto a non-managed University computer.

Installing Jabber On Windows

Download the latest Jabber installation files from:

https://internal.lboro.ac.uk/it/uniwide/Services/Jabber/Windows

Install “Cisco Jabber“ by opening the downloaded archive file and running the installation program CiscoJabberSetup.msi

Default options should be selected during the installations.

Run the “Cisco Jabber” program.

Enter your Loughborough University AD username followed by “@lboro.ac.uk” and click on “Continue”.

Enter your Loughborough University AD username and password, and click on “Sign In” to log into Jabber.

Selecting the “Automatic sign-in” checkbox will mean that Jabber will automatically try and sign in (using the previously specified username and password) when it starts.

By default, Jabber will not start automatically as part of the Windows startup process.

This can be changed by clicking on the button Jabber Install Windows 3

 

 Select “File”, “Options” and then “General” in Jabber. There is an option to “Start Cisco Jabber when my computer starts”.

Should automatic configuration of the connection settings be unsuccessful, then click on the “Advanced Settings” link on the Jabber login page.

Configure the connection settings as per the shown example and then click on “Save”.

Enter your Loughborough University AD username and password, and click on “Sign In” to log into Jabber.

Installing Jabber On Mac OSX

Download the latest Jabber installation file from

Install “Cisco Jabber “ by extracting the program file from the downloaded archive

Default options should be selected during the installation.

Move the extracted “Cisco Jabber” program into the“Applications” folder.

Run the extracted “Cisco Jabber” program and accept the Cisco EULA when prompted.

Features Available

  • Softphone Mode: If your PC / Mac is equipped with a suitable webcam and microphone, you are able to use Jabber to make voice and video calls without the use of a handset. It is recommended you use headphones and a microphone. Please contact IT Services to enable softphone mode. Calls will be charged to your department as usual.
  • Presence: Shows other users your status and if you are available to be contacted. 
  • Contact Lists and Contact Groups: You can add other users to contact lists in Jabber to see their presence status to contact them quickly. Contacts can be grouped together as required.
  • Instant Messaging: Quickly send a message to one or more Jabber users at the University. You can also transfer documents.
  • Voicemail: Access your voicemail messages directly from Jabber.
  • Outlook Calendar Integration: Jabber links to your Outlook calendar to automatically update your presence status if you are in a meeting.
  • Caller ID: The Caller ID will be displayed on your PC / Mac when your handset rings.
  • Group Chats, Group Emails and Conference Calls: Quickly start instant messaging chats or conference calls with a group of Jabber contacts by selecting the contact group.
  • Pesistent Chat Rooms: Allows users to have chat conversations with groups of other University staff members over a period of time, without the need for all participants to be logged into Jabber for the full duration of the chat conversation. Allows staff to drop in and out of conversations as often as they wish.
  • Jabber for iPhone, iPad and Android: You can use your iPhone, iPad or Android devices with Jabber to make and receive calls as though you are using your desk phone. You will need to download the necessary apps. Please be aware - the Jabber apps are subject to application management by the device and may be hibernated without your knowledge. The client will be unable to receive calls or messages in this state. The app service will have to be enabled as required by the individual user. Please contact IT Services if you require the enabling of your extension number. 
  • Using Jabber Off-Campus: While working off-campus, you will still have access to Jabber to make calls as though you are using your desk phone, provided you have a suitable microphone. The services available will depend on the speed of the network. It is not necessary to connect to the University's VPN unless screen sharing and file transfer features are necessary.

How to reset and configure Jabber for Windows

If you are experiencing difficulties using Jabber from off-campus without using the VPN this is typically because you have logged into Jabber using just your username, instead of "username@lboro.ac.uk".  You can solve this by resetting your Jabber client and logging in again using "username@lboro.ac.uk". 

1. To reset Jabber, you will need to sign out of Jabber by clicking on the cog/gear icon, the select "File" and click on "Sign Out".
 
 
2. Once signed out, you will be shown the login screen.  Click on "Reset Jabber".
 
 
3. A pop will prompt asking "Are you sure you want to reset Cisco Jabber".  Proceed by clicking on "Reset". 
 
 
4. Next you will be taken to the Jabber login screen.  Proceed by logging in by entering your Loughborough University AD username followed by "@lboro.ac.uk" (username@lboro.ac.uk) and click on "Continue".
 
 
5. Next, proceed by entering your password and clicking on "Sign In".  Your username will be automatically displayed.
 
 
6. Once you have signed in please ensure you have configured Jabber to "Use my computer for calls".  To enable this, click on the small icon of a computer with a headset or telephone icon at the bottom of left of the Jabber window.  This will allow you to set which device will be used for calls .  Select "Use my computer for calls" to be able to use your computer's headset and microphone for telephone calls.
 
 
7. Lastly, double check that Jabber is using the correct speakers and microphone.  Click on the cog/gear icon followed by "File" and then "Options".  
 
 
8. The options window will appear.  From the options list on the left select "Audio".
 
 
9. In the "Speaker" and "Microphone" dropdown list you can select the device where you would like the audio to be outputted and the microphone you would like to use.
 

How to reset and configure Jabber for Mac

To reset Jabber, you first will need to sign out of Jabber by clicking on your initials on the top left of the Jabber window followed by clicking on “Sign Out”.

 

Once signed out you will be shown the login screen.  Click on “Reset Configuration”.

 

 

Next you will be taken to the Jabber login screen.  Proceed by logging in by entering your Loughborough University AD username followed by “@lboro.ac.uk” and click on “Sign in”.

 

How do I Change Between Jabber Deskphone and Softphone Modes?

Phone controls allows you to set either your desk phone or computer to act as your phone and set up call forwarding.

If you set your computer to act as your phone, and your computer is equipped with a webcam, then you will be able to use Jabber to make video calls.

If you set your desk phone to act as your phone, you will not be able to make video calls using Jabber.

Mac Users

It appears like phone calls are being made, but you cannot hear or speak to anyone.

This is typically because Jabber is set to control your office desk phone and not the computer you are working at.

This setting is changed by using the small icon of a computer with a headset or telephone icon at the bottom of the Jabber window. This will allow you to set which device will be used for calls.

You will need to select “Computer” or “Use my computer for calls” to be able to use your computer’s headset and microphone for telephone calls.

Underneath “Use my computer for calls” you may also see 'Audio Options...' if you are using a headset you may need to select this to change your preferred audio output and input device.

How Do I Change My Presence Status In Jabber?

Show other users if you are available to be contacted. Your status is automatically updated if you are on the phone or in a meeting and you can also configure custom status messages.

To change your availability status, click on the status button and select the required status from the drop-down list.

You can set up to three custom status messages for each availability state.

To insert a new status message, click in the status message field and add your new status message.

Jabber For iPhone, iPad And Android Devices

You can use your iPhone, iPad or Android devices with Jabber to make and receive voice and video calls as though you are using your deskphone.

You can download the necessary Cisco Jabber apps from the Apple and Google App Stores.

Please be aware that Jabber for iPhone/iPad and Jabber for Android are subject to application management by the device and may be hibernated without your knowledge. The client will be unable to receive calls or messages when in this state and, as such, we do not recommend it be relied upon for receiving calls.

How Do I Create A Persistent Chat Room In Jabber?

Windows Users

Click on the Jabber desktop icon.

Select “File”, “New” and then “Chat room” from the menus. In the new room creation window, enter a name and description for the new chat room. The name and description entered should be appropriate and informative as they are searchable by all staff at the University.

 

Mac Users

New chat rooms are created by selecting “File” and then “New Chat Room…” from the menus. 

The new chat room should be given a name and a description.

It should be noted that all chat room names and descriptions are searchable by all members of staff at the University and so names and descriptions should be appropriate and informative.

Select whether the chat room should be a public room (where anyone can find and join the room without approval) or restricted (where a user has to request access to join the room from the list moderator). Please note that this option cannot be changed once the chat room has been created.

Enter moderators for the new chat room by entering their name in the search box and selecting them from the University directory.

Click on the Create button.

When you have created the new chat room, you will be prompted to add members to the chat room. You can either add them straight away or add them at a later date.

Persistent Chat Room Administrators, Moderators And Members

  • Administrators – The member of staff that created a chat room is automatically assigned the role of administrator of the chat room. The administrator has complete control over the chat room and can add moderators and members to the list. The administrator can also delete the list if required.
  • Moderators – Chat room moderators are assigned the role by the administrator of a chat room and have the permissions to approve the requests from members of staff to become members of the chat room. They do not have the permissions to approve other moderators of a chat room or delete a chat room.
  • Members – Members of a chat room are able to participate in chat room discussions only. They do not have permissions to allow access to the chat room for other members of staff.

Who Can Create Persistent Chat Rooms?

Any member of staff at the University is able to create Persistent Chat Rooms within Jabber. The list of chat room names and descriptions is searchable by ALL members of staff so names and descriptions should always be appropriate and informative. Use of the chat rooms comes under the University’s Acceptable Use Policy and other relevant properties.

Can I Assign A Password To A Persistent Chat Room?

The administrator of a persistent chat room can add a password to the chat room if required, by opening the chat room and clicking on the “Edit Room” icon. Clicking on the “Password” button will give the option to enter a password for the chat room. By enabling the password option, all members will need to enter the shared password before they are able to enter the chat room.

Can I Limit The Number Of People That Can Be In A Chat Room?

The administrator of a persistent chat room can limit the number of concurrent users that can have a chat room open at the same time. The default number is 50 concurrent users, but it may be necessary to either increase or decrease this figure. Opening the chat room and clicking on the “Edit room” icon, will give the chat room administrator the option to enter a new “Room participant limit” as required (up to a maximum value of 999).

How Can I Tell Which Other People Are Available For A Chat Room Discussion?

The chat room member list will show a user the Jabber status of other members of the chat room. If required, the user can then select to contact an individual user directly by double clicking on their name on the list. This will open another Jabber window. The two chat room members can then communicate directly through Jabber without the conversation being shared with all members of the chat room.

Can I Start A Conference Call With Chat Room Members?

When two or more members of a chat room are online in a Jabber chat room at the same time, there is the option available to start a conference call between all of those chat room members by clicking on the button at the top of the chat room member list.

It should be noted that this feature isn't available to Mac users.

Can I Use Persistent Chat Rooms On My iPad, iPhone Or Android Device?

Persistent Chat Room functionality is only available through Windows PCs and Macs. There is at present, no option for using Persistent Chat Rooms through Jabber on Android devices, iPads or iPhones.

Can I Use Jabber Off-Campus?

If you work from home, or somewhere where there is access to the Internet, you can use Jabber to make voice and video calls using your PC, Mac, laptop, tablet or mobile phone as though you are using your deskphone. This depends on the device on which you are using Jabber being equipped with a suitable webcam and microphone.

The Jabber services that will be available to you off-campus will depend on the speed of your connection to the Internet and how many other active users are sharing the available bandwidth. As the level of available bandwidth increases, so does the quality of the audio and video calls made using Jabber.

Although it isn’t necessary to connect to the University’s VPN to make use of Jabber when off-campus, if the screen sharing and file transfer features of Jabber are required, then a connection to the University’s VPN will be required.

Unable to login to Jabber from off-campus?

If you are unable to login to Jabber from off-campus and receive an error saying "Cannot communicate with server" then please reset your Jabber client and follow these instructions:
