Making and receiving calls

Microsoft Teams Phone gives you the ability to make, receive, and transfer calls through the MS Teams application in a way that suits your working needs.

Teams Phone has a vast list of calling features and options which you’d expect from a phone system. Calls are taken via Microsoft Teams, meaning you can pick them up from your desktop, laptop, or mobile device as long as Teams is installed.

You do not need to be on-campus or connected to the VPN to make and receive calls.

How do I make calls?

External calls

To make an external call:

  1. Click on the “Calls” tab in the left-hand navigation bar in Teams
  2. Once presented with the dialpad, click the numbers as you would with a physical telephone or by pasting a telephone number into the box above the dial-pad or even by typing the name of the person you wish to call.

NOTEThere is no need to dial ‘9’ for an outside or be on the VPN to make external calls.

Internal calls

There will be no need to use Teams Phone to make internal calls. This functionality will continue to be supported by Microsoft Teams. To start an internal call you can:

  1. Click on the "Chat" tab in the left-hand navigation bar in Teams
  2. Type the name of the person in the "Search Bar" and select them
  3. Select the "Video call" call button or "Audio call" button to start a call

How do I answer and decline calls?

When you receive a call, you will be offered the choice to either answer or decline the call.

  • Select "Accept" with audio" button to answer with audio only
  • Select "Accept with video" call button to accept the call and enable video as well
  • Select "Decline call" to decline the call and go on with your day

Placing a call on Hold

To place a call on hold:

  1. Click the More actions button Image of the three dots menu button in your call window
  2. Select "Hold"

How do I transfer a call?

To transfer your one-on-one calls in Teams when you're in a call:

  1. Select More actions Image of the three dots menu button button
  2. Select the "Transfer" in your call controls
  3. Serach for the contact and select them and prees "Transfer"

How do I park a call to pick up elsewhere?

To place a call on hold on one device and pick it up from another device (also known as parking a call):

  1. Click More actionsImage of the three dots menu buttonin your call window
  2. Select "Call park" at which point you will be given a unique code allowing for the call to be picked up on another device
