IT Services is updating the way the university prevents automatic email forwarding to external addresses, using a new and improved Microsoft feature.
By blocking unauthorised automatic email forwarding more effectively, we’re reinforcing our responsibilities under data protection law.
This new policy will come into effect from Tuesday, 19 August 2025, and applies to all staff.
How does this impact me?
This change will affect automatic email forwarding set up through rules or settings in your email client software. You can still forward individual emails to external addresses as needed. Unauthorised automatic forwarding will be blocked, and any affected messages will be returned to the sender. Some colleagues may notice disruption if they currently have automated forwarding in place.
Action required
Automatic email forwarding to external addresses will stop working for users who are not authorised or part of the permitted group. If this applies to you, please request authorisation or remove any existing forwarding rules.
This change enhances compliance with the University’s Acceptable Use Policy.
