Accommodation cancellation request
In order to apply for a release from your accommodation contract you are required to complete an Accommodation Cancellation Request.
If you want to request release from your University accommodation contract, you must submit an Accommodation Cancellation Request through the Accommodation Hub.
This is the same system where you originally signed your accommodation contract.
How to submit your request
Step 2
Select the current academic year for the accommodation you wish to cancel.
Step 3
Select Accommodation cancellation.
Step 4
Complete the cancellation request, including:
- your reason for requesting cancellation
- the date you would like to vacate your room
- any further information you would like us to know
Step 5
Read the relevant Halls of Residence Licence Terms and Conditions, tick the confirmation box to confirm you understand the terms relating to withdrawal, and select Submit.
Once submitted, you will see a confirmation message and receive a confirmation email shortly afterwards. Please allow up to 30 days for your request to be processed. We will contact you if we need any additional information.
Submitting a cancellation request does not automatically release you from your accommodation contract.
Your request will be considered in accordance with the Halls of Residence Licence Terms and Conditions. Submitting a request is a pre-condition for consideration of early termination.
If a release is granted, you may be liable for additional fees and/or administration charges.
Please read clauses 6.1 to 6.3 of the relevant Licence Terms and Conditions before submitting your request.
Can't remember your University username?
If you cannot remember your University username, please contact the Student Accommodation Centre. We can help you with your username, but we cannot provide or reset your password.
Please note
Cancellation requests received during the final four weeks of the contracted Summer Term will not be considered.
If you have any questions about the cancellation process, please contact the Student Accommodation Centre on 01509 274488 or email sac@mailbox.lboro.ac.uk.
Frequently asked questions
Does submitting the cancellation request cancel my contract?
No. Submitting a cancellation request is the first step in requesting early termination. It does not automatically end your accommodation contract or your liability for accommodation fees. You will receive confirmation once your request has been submitted, and we will contact you about the outcome if further information is required.
Can I cancel my accommodation whenever I want?
You can submit a cancellation request, but this does not automatically release you from your accommodation contract. Your request will be considered in line with the Halls of Residence Licence Terms and Conditions.
What if I want to leave because of medical or compassionate reasons?
You can request early release on medical or compassionate grounds. You may be asked to provide supporting evidence, such as recent evidence from a medical professional or support from Student Wellbeing and Inclusivity. If you remain registered at the University, you may also need to consider suitable alternative University accommodation before your request can be assessed.
What happens if I withdraw from my course or take a leave of absence?
You must submit a cancellation request and provide appropriate evidence. You will remain liable for Licence Fees until you vacate your room and return your keys, whichever is later. A withdrawal fee equivalent to four weeks' rent will also apply.
I'm going on a placement or exchange. Can I cancel my accommodation?
If you secure a placement or exchange, you may be able to end your accommodation contract early, depending on when your placement or exchange starts. You will need to provide evidence of your formal placement or exchange offer. Different fees and conditions apply depending on whether your placement or exchange is for the first or second semester.
What if I want to cancel before my accommodation contract starts?
Different charges apply depending on when you submit your cancellation request. If you cancel before 1 June, an administration fee may apply. From 1 June onwards, you may remain liable for Licence Fees until another suitable student takes over the room.
Can I cancel after my accommodation contract has started?
You can submit a cancellation request, but unless the University agrees to release you from your contract, you may remain liable for Licence Fees until another suitable replacement student takes over the room.
Do I have to find someone to replace me?
If you are seeking to end your contract outside the circumstances covered by the Licence Terms and Conditions, you will generally be responsible for finding a suitable replacement. The replacement student must meet the University's requirements and must not already have applied for or hold a University accommodation contract, as applicable.
Will I have to pay an administration fee?
An administration fee may apply depending on the reason for cancellation and when you submit your request. An administration fee of £150 applies in some circumstances where a replacement student is required.
What happens if I find someone to take over my room?
The replacement student must be reasonably acceptable to the University and meet the requirements set out in the Licence Terms and Conditions. You remain responsible for your accommodation contract until the University grants the replacement student a Licence.
