Annex 1 - Formal Election Procedures

1. COUNCIL and Council Committees

1.1 The election of members to Council by the staff other than the academic staff and by General Assembly is governed by Ordinance XXX (see para 2.1 above). The procedure for elections is included in para 2.2 above.

1.2 The election of Senate members to Council is undertaken by the Elections Administrator.

1.3 Students appointed by the Students’ Union to Council are notified to the Secretary to Council at the beginning of each academic year.

1.4 Elections from Court to Council are undertaken by the Secretary to Court.

1.5 Appointments by the Alumni Association are undertaken by the President of the Association.

1.6 Co-opted members of Council are proposed by a Nominating Committee appointed by Council and serve for 3 years with a maximum of 3 terms. The Nominating Committee prepares written descriptions of the roles and capabilities required of new members and vacancies are published.

1.7 Elections from Council to Council committees and other bodies are undertaken by the Assistant Secretary to Council during the Summer vacation period. Such members are usually to be elected annually, but in practice members are invited to continue on a particular committee until their membership of Council expires.

2. SENATE and Senate Committees

2.1 The election of members to Senate by the academic staff, by General Assembly and by students of the University is governed by Ordinance XXX (see para 2.1 above). The procedure for elections is included in para 2.2 above.

2.2 Students appointed by the Students’ Union Executive to Senate are notified to the Secretary to Senate at the beginning of each new academic year.

2.3 Co-opted members are invited to Senate membership at the request of the Vice-Chancellor on behalf of Senate.

2.4 The election by Senate of Senate members or other staff to Senate committees and other committees is undertaken by the Elections Administrator. Where insufficient nominations are received for vacancies that are the responsibility of Senate, the Vice-Chancellor may fill outstanding vacancies by invitation.

3. Human Resources Committee

Elections from various constituencies to Human Resources Committee and to Equal Opportunities Sub-Committee are undertaken by the Elections Administrator.
