Data Protection 

Before you start the survey, please read this privacy statement which tells you how any personal data you submit with your responses to this survey will be utilised and protected, and the rights you have in relation to it. Read more at Data Protection | Human Resources  
 
Loughborough University is running the Belonging and Inclusion Survey in line with our commitment to become a more diverse, equitable and inclusive organisation. Responses from the survey will be used to help identify and prioritise impactful actions to advance race equity at the institution.

All responses collected through this survey will be stored by the Planning Team, on behalf of Loughborough University. Your responses will be held securely by this team. 

We value your responses and all personal information you provide will be treated strictly in terms of the Data Protection Act 1998, the General Data Protection Regulation ((EU) 2016/679) and the UK general Data Protection Regulation 2018.  

How we collect your data

In order to ascertain whether certain groups of people are more affected by some issues than others, responses will be matched with personal data collected when each respondent started their employment or study at the University. We do this to reduce the number of questions asked in the survey and ensure data accuracy. When completing the survey, your staff or student ID will be recorded to allow your responses to be matched to your personal data.
 
Staff can review the information that the university holds about you through my.HR. 
 
While the survey is running, your responses are held by the EDI Services who are facilitating the survey. Once collected the data will be stored on Office 365 in a secure folder with access permissions for only those that need it. This will be one staff member each from EDI Services, Planning Team and Academic Registry, who are processing the results. After the survey closes, the responses will be anonymised before being analysed. The responses will be used to identify and prioritise areas for action relating to race equity. 

How we use your data

In the university, your response data will be held securely and anonymised prior to analysis. The data will be analysed by staff in the Planning Team who will treat all data confidentially. Data will then be reported to the Race Equality Charter Self-Assessment Team and EDI Governance Committee for discussion and identification of areas for action to support the progression of race equity. High level statistics or information may be used in the university’s submission for the renewal of the Bronze Race Equality Charter Award in a manner that will ensure identification of individuals is not possible. We retain the anonymised responses to research policymaking and to track the effectiveness of new interventions. 

Individual responses will not be shared with line managers or tutors. No student or staff member will be contacted or face any repercussions regarding your responses. Any published material will be anonymised.  

You can withdraw your consent for your response to be processed up to the point at which we anonymise the data. If you wish to withdraw your response, please email edi@lboro.ac.uk.  
 
Your participation in this questionnaire is voluntary and you can stop at any point without your responses being included in the dataset.
