For PhD projects Gecko form

This guidance is for those involved with checking and processing submissions of the PhD projects Gecko form (both funded and unfunded opportunities).

Academic supervisors are required to submit the PhD project Gecko form once for each project they wish to advertise. The form will automatically filter the relevant fields required based on whether the supervisor selects funded or unfunded at the start of the form.

  • Details about the full process are outlined below
  • Please note it can take up to two weeks (from initial submission) for the adverts to be published on the website or third-party sites. Buffer at least 1 working week for School Marketing teams to upload projects to our website and third party channels
  • For a PhD project to be given full exposure over the Christmas period, PGR Administrators need to have sent projects to the DCO by w/c 25 November 2024

In order to streamline the process for marketing colleagues and those who upload the project to third party sites (FindAPhD (unfunded and funded projects) and jobs.ac.uk (funded projects), it is important that the information provided is complete and accurate. Therefore, there are a few steps that we politely request that PGR Administrators take before sending the project submission to the DCO (funded projects) or their designated School Marketing contact (unfunded opportunities).

Project reference number

The email submission contains space for the project reference number to be entered, as shown below:

Fee band (unfunded projects only)

When checking the advert, please ensure the feed band selected aligns to the programme the doctoral research will register on. School/Departmental research tuition fee information can be found here. Please also delete the references to fee bands, leaving just the fee figures - eg: UK: £4,712; international: £20,250.

When you receive the completed form submission, the hyperlinks in the below ‘How to apply’ content won’t pull through. When forwarding it on to the relevant team (Doctoral College for funded and School Marketing for unfunded), please copy and paste the hyperlinked text from the below.

How to apply

All applications should be made online. Under programme name, select *the school/department name*. Please quote the advertised reference number: *project reference number* in your application.

To avoid delays in processing your application, please ensure that you submit the minimum supporting documents.

The following selection criteria will be used by academic schools to help them make a decision on your application.

Please ensure the correct programme name has been included to replace *the school/department name* text shown above, the programme name should be the same as it appears in the application portal.

Please also overwrite *project reference number* with the reference from the top of the form.

Note that this now automatically includes a link to the studentship assessment criteria drafted by the Doctoral College. If your School is using a different set of assessment criteria, these must be published and you will need to replace the link above with a link to your own School criteria.

PGR Administrator emails are included in the submission. To avoid any confusion, please delete all administrator emails from the end of the data form before forwarding it to School Marketing.

Advertising the project

Once these steps have been taken and the project has been approved and submitted to your relevant School Marketing contact, the project will be uploaded to the PhD A-Z listing on our website and FindAPhD.

If the project is funded, it can also be advertised on jobs.ac.uk. A cost will be charged to schools to advertise on Jobs.ac.uk (approximately £500).

Composite adverts

To advertise a composite ad (i.e. for open calls/projects with no predefined research areas or multiple vacancies for one project) a cost will be charged to the school to advertise on FindAPhD (approx £500) and jobs.ac.uk (approx £415).
