About the Turing Scheme
How your data will be shared with third parties for the purposes of the Turing Scheme.
Department for Education (DFE)
If your application for Turing funding is successful, the University will be required to share your personal data with the funding body which operates the Turing Scheme, the UK government’s Department for Education (DFE).
Your data may be shared in following ways:
1. Data uploaded by Loughborough University to the DFE portal (all funded students):
The University must share relevant personal data, information about your programme of study at Loughborough University, and details of your placement as stated in the DFE Privacy Notice.
2. Data by provided Loughborough University to the DFE by email for a specific purpose (selected students):
If the University is subject to a routine in-year audit and you are selected within the DFE's audit sample, the University will also be required to share with the DFE documents to support your funding (your signed grant agreement, certificates of arrival and attendance, claim forms and receipts/invoices for travel grants, Readiness to Travel and SEND funds). The University will also be required to provide evidence of the payment(s) made to you but your bank details will not be shared.
If you submit a force majeure claim because your mobility is affected by circumstances beyond your control, it will be necessary to share the details and supporting evidence (e.g. receipts for travel, medical expenses, etc.) with the DFE.
External Audit
All institutions who receive Turing funding are required to undertake an end of cycle audit with an independent external auditor for the purposes of providing assurance to the DFE that the institution has complied with the terms of its Turing grant.
As part of this process, the University will share the following information, typically via secure file-sharing methods (e.g. Microsoft Teams file link).
1. All Turing-funded students:
- Personal data, details of your programme of study at Loughborough University, and details of your placement as stated in the DFE Privacy Notice
- Payment dates and amounts
2. The auditor will randomly sample a number of student files. If you are chosen as part of the audit sample, the University will also share:
- your signed grant agreement
- your certificates of arrival and attendance
- evidence of claim forms and receipts/invoices for travel grants, Readiness to Travel and SEND funds
- evidence of the payment(s) made to you (this will not include your bank details). This information may be shared on screen during a Teams call
- details of any force majeure claim and supporting evidence (e.g. receipts for travel, medical expenses, etc.)
