Hall Subs and Freshers Week

The Freshers’ Week programme at Loughborough is delivered collaboratively between Loughborough Students’ Union (LSU) and our Halls of Residence. As a result, you will see numerous, exciting events scheduled throughout the Freshers’ period; some organised by your Hall Committee (if you have chosen to reside in Hall of Residence) and some organised by Loughborough Students’ Union (LSU).

If you have chosen to live in a Hall of Residence at Loughborough - the first week of your Freshers’ Week programme (from your hall’s arrival day to Sunday 1st October) is primarily designed by a committee of students in your hall of residence.

LSU’s primary Freshers’ Week programme is delivered from Thursday 28th September – Sunday 8th October 2023 – following the completion of the move-in period.

Students are welcome to participate in either set of activities as they wish and are free to choose which events/activities they wish to attend throughout the programme.

How do we deliver Freshers’ Week/Welcome Week at Loughborough?

The Freshers’ Week programme at Loughborough is delivered collaboratively between Loughborough Students’ Union (LSU) and our Halls of Residence. Students are welcome to participate in either set of activities as they wish. If staying within a Hall of Residence, you’ll find your hall plans available via relevant social media channels.  Should you wish to purchase a Hall Sub, you gain access to a variety of Hall-Based Activities (delivered within your Hall of Residence), including access to Hall-based social events and the ability to take part in Hall organised fundraising events (RAG) and Hall specific volunteering opportunities (Action).

This fee also covers the hall-based activities that are provided as part of your Hall’s Freshers’ Week/Welcome Week. This includes access to day-time activities, early evening hall activities and bespoke hall merchandise. Please note this fee does not include entry to LSU’s events (for example Welcome Parties, Alton Towers, Bingo Lingo) and these should be purchased separately via the LSU Website

Separately to this, LSU run a bespoke timetable of activities centrally to welcome all Loughborough students (regardless of whether you are or aren’t based in a hall of residence) to the Students’ Union and introduce them to activities/opportunities delivered across the University.  This includes everything from movie nights to club nights, Bingo to petting zoos and trips to IKEA and Alton Towers.  The full schedule can be found on LSU's website.

What Freshers’ Week activities should I attend?

Students are welcome to participate in any activities they wish and are free to choose which events/activities they wish to attend across the Freshers’/Welcome Week period.

LSU’s timetable of activities is open to all Loughborough students (regardless of whether you are or aren’t based in a hall of residence) and includes everything from movie nights to club nights, Bingo to petting zoos and trips to IKEA and Alton Towers.

Your Hall Plans are available via the relevant social media channels and you will require a Hall Sub Membership to access these activities.

What is Hall-based Activity?

Hall-Based activity is activity that specifically occurs in the surroundings of your hall of residence. This can include things like common room socials, coffee mornings etc.

They will often be hosted by your Hall Committees; these are students who are elected by the previous year’s hall community to represent the best interest of the hall and plan exciting events throughout the year.

Are Hall Subs a mandatory payment?

No, Hall Subs are not a mandatory payment.

If I’ve purchased a Hall Sub, do I need to purchase a ticket to attend LSU events?

The Freshers’ Week programme delivered by LSU is run independently of Hall based activities. The programme includes a range of daytime, early evening and late-night activities

Do I need to buy Hall Subs to attend my Welcome Party?

No, you don’t need to purchase Hall Subs to attend your Welcome Party. The Welcome Parties hosted by LSU are open to all first-year students who have recently joined Loughborough University. This includes those living in Halls of Residence, Off-Campus, Commuting or living in Off-Campus Accommodation. You should purchase tickets through the LSU website or the Students’ Union App.

Do I need to purchase tickets to LSU if included/listed on my Hall’s Freshers’ Week Timetable?

Yes, all LSU events are ticketed separately to the activities delivered within Halls of Residence.  Any LSU events that you wish to attend (even if included/listed without your Hall’s Freshers’ Week Timetable) should be purchased in addition to your Hall Subs. These should be purchased directly through the LSU website or the Students’ Union App.

If you aren’t sure whether you need to purchase tickets for a specific event that is not held in LSU, please check with your Hall Committee.

Can I purchase hall subs in person?

No, you should purchase Hall Subs online via the LSU Website.
All our Hall of Residence Committee pages can be accessed via the LSU Website and you should select the Hall of Residence which related to you.

What do I do if I arrive in my Hall of Residence after the hall-based Freshers’ Week Period has ended?

If you arrive after your Hall-Based Freshers’ Week activities have ended (from Monday 2nd October onwards), you should purchase a Returners Hall Sub (if you wish to partake in Hall-Based Activities throughout the year). Do I need to buy a Hall Sub to play Intra-Mural Sport (IMS)?

Intra-mural sport (IMS) is sport activity where Halls of Residence compete against one another across a variety of different sporting events. Students who do not live in a Hall of Residence can also compete in IMS as part of a hall-based Team.

Whilst you do not need to buy a Hall Sub to represent your hall in IMS, you will need to purchase one if you wish to access training sessions or participate in IMS specific social events occurring within your hall.

What do I do if I transfer/move to another Halls of Residence?

Due to the way in which Hall Subs are processed, it is not possible to transfer a Hall Sub from one Hall to another - should you transfer accommodation at any time during the academic year.

Refund requests will only be considered in exceptional circumstances, including, but not limited to, illness and adverse personal circumstances. A refund will not include the Freshers’ supplement (first year and single-semester – semester 1 packages only) should a request be made after the Hall arrival date.    

To request a refund because of a hall move, please contact the Hall Warden in the first instance.

Whether a refund is issued is based on the discretion of the Hall Warden, who will then need to advise the Hall Treasurer how best to proceed. Refunds will be issued on a pro rata basis; they will be proportional to where the student is in the academic year. Although, a Warden may choose to deviate from this in exceptional circumstances. Refunds will typically be issued within 28 working days but can take longer in some circumstances.

What do I do if I’m unhappy with my Hall Subs?

Refund requests will only be considered in exceptional circumstances, including, but not limited to, illness and adverse personal circumstances. A refund will not include the Freshers supplement (first-year and single-semester – semester 1 packages only) should a request be made after the Hall arrival date.
