What iTrent access do I need?
Departmental administrator access
If you are an Departmental Administrator of a department or a school, you will need this Administrator access:-
What can I view?
- Employee sickness absence data
- Other Absence Data
- Personal details (Addresses and Contacts)
- Position information including the Grade (Not spinal point)
- Probation and fixed term reviews
What can I update?
- Employee sickness absence
- Other absences such as Study/Compassionate leave
- Employee personal details (Addresses, Contacts and Emergency contacts)
- External Funding Reviews
Position approval and contract changes access
This access provides the ability to send required information to relevant teams across the university, such as Finance, Planning, Human Resources, the Research Office, and Imago Ltd budget holders and approvers.
What can I view?
- Position information including grade and reviews
What can I update?
- Request New and Replacement positions
- Request Contractual changes to existing staff employment
Recruiting department access
If you are recruiting a new member of staff, you will need this access.
What can I view?
- Vacancy
- Applicants
What can I update?
- Advertising Requests
- Shortlists
- Create Interview Schedules
- Submit a 'Requests to Offer' when you have found a suitable candidate after interview
Line manager - Reportees access
This is intended for managers who need to see a group of staff that report to them.
What can I view?
- Employee sickness absence data
- Other Employee absence data
- Personal Details (Addresses and Contacts)
- Position information including the Grade
- PDR dates and documents
- Probation and fixed term reviews
What can I update?
- Employee Personal Details (Addresses and Contacts)
- Employee Maternity/Paternity Keeping In Touch Days
Senior Line Manager Access
This is intended for Managers at Grade 8 or above. If you are not this grade, there will need to be a justifiable business need for you to require access.
What can I view?
- Employee sickness absence data
- Other Employee absence data
- Personal details (Addresses and Contacts)
- Position information including Grade
- PDR dates and documents
- Probation and fixed term reviews
- Salary points
- Reward Review Data
What can I update?
- Employee Personal Details (Addresses and contacts)
- Maternity/Paternity Keeping In Touch Days
- External Funding Review Dates
'Core' access
Core iTrent access is required for some roles in order to fulfil their duties, here is a list of the areas who may need 'Core' access:-
