Campus printing

Staff, students, campus partners and visitors can use this service to print, copy and scan
Our system lets you print to one queue on your laptop or PC, and then pick up at any printer with the simple ‘tap and release’ workflow powered by PaperCut.
Schools and campus partners are not financially responsible for printers within their work areas but are instead charged monthly for their users usage across the entire fleet.
Students and visitors can purchase print credits to pay for their usage.
How to register for Campus Printing - students
To use Campus Printing you will need to set up Mobility Print.
Follow the instructions on the screen.
The instructions shown will be the correct one for your operating system (Mac OS shown).
If not, click on the appropriate icon
Once you have completed the install process you will be able to see the print queues within the programme you are using:
Choose the correct printer
Student-Mono [papercut-print1](Mobility) or Student-Colour [papercut-print1](Mobility)
Click Print.
The system will ask you to login. Do this with your lboro credentials provided by IT Services
To collect your print from the device you will again need to login.
Click on print release, select the file, and press on Personal Account to pay using your print credits.
Notes:
The device will not release your print if you do not have credits. The FAQs in this section of our website provides detail of how to add credits.
The print queues have been set up as staff and student for server load balancing reasons but your print will still work if you use the staff print queues.
How to register for Campus Printing - staff
Find your nearest Campus Printer.
Hold your card over the reader (small black box) or login on the screen using your University login credentials
Follow the on-screen instructions
Your card will now be registered for use on the service

Staff are charged monthly for usage according to the Agresso code selected at the device upon print release
How to register for Campus Printing - campus partners
Visit the PaperCut Print User Portal and click on Register as a Guest User at the login screen
You must use a secure password that is not the same as any you use for other Loughborough accounts or purposes.
Once you have created an account you will need to set up MOBILITY PRINT.
Follow the instructions on the screen.
The instructions shown will be the correct one for your operating system (Mac OS shown).
If not, click on the appropriate icon
Once you have completed the install process you will be able to see the print queues within the programme you are using:
Choose the correct printer
Staff-Mono [papercut-print1](Mobility) or Staff-Colour [papercut-print1](Mobility)
Click Print.
The system will ask you to login. Do this with the account details you set up at the beginning of this process.
To collect your print from the device you will again need to login with the credentials that you set up at the beginning of this process.
Click on print release, select the file, and press on Personal Account to pay using your print credits.
You can apply to have your print costs added to your employers monthly invoice from Print, Post and Logistic Services. Please use this APPLICATION to request this change.

If you are a current Loughborough Staff member you will not need to follow this process. You will be able to use your existing University credentials to print.
How to register for Campus Printing - as a visitor to campus
Visit the PaperCut Print User Portal and click on Register as a Guest User at the login screen
You must use a secure password that is not the same as any you use for other Loughborough accounts or purposes.
Once you have created an account you will need to set up Mobility Print.

How to send a file for print
The print queues will be auto loaded to staff desktop and IT Services managed lab machines
Whilst in the file you want to print, select Print in the normal way and select the new PaperCut print queues as detailed in this webpage
How to release print
Find your nearest Campus Printer.
Staff, Campus Partners and students need to hold their ID card over the reader (small black box) to auto-login
Guest users need to tap the screen and follow the on-screen instructions to login
Select Print Release
Select the jobs you want to print
Click on Print
Click on the Agresso Code that appears.
Select Logout to finish
NOTE: If you click on Personal Account, and you have not added print credits to your account, your print will not be released and you account may be locked. Please contact us to rectify this if you have problems.
How to copy
Find your nearest Campus Printer.
Hold your card over the reader (small black box)
Follow the on-screen instructions to login
Place your documents face up in the document feeder or face down on the glass
Select Copy on the home screen
Select Device functions
Set your copy settings on the following screen
Press Start
Logout to finish
How to scan
Find your nearest new Campus Printer.
New printers can be identified by the grey, yellow and white labels.
Hold your card over the reader (small black box)
Follow the on-screen instructions to login
Place your documents face up in the feeder or face down on the glass
On the main screen select Scan
Change the subject name as required
Select Start scanning
For scanning options select Settings
Choose the desrired settings and press Start scanning
Logout to finish
How to request print credit prepayment cards
The PaperCut system enables schools and departments to request print credit prepayment cards for handing out to students, guests and visitors.

How do I top up my print credits?
Visit the PaperCut Print User Portal
Login
Click on Add Credit in the left hand menu
Select the amount you want to add and click on Add value
The system will now redirect you to the RBS WorldPay, our approved payment transfer provider.
Complete the process as directed.
The system will add the value to your credits and you can start sending files for print
Alternatively you can visit our counter service in the Herbert Manzoni Building and our team will be able to help you
How do I report a fault with a printer?
Contact us to report all faults quoting the printer number, found on the front and top of the machine
In your email please provide a brief description of the problem
Our SLA for getting a machine back up and running is 7-10 days, based on the availability of our supplier engineers. We often manage to rectify issues much quicker than that but during the downtime you can use any of the other campus printers
How do I order paper for a Campus Printer?
Campus printing service paper is available via the University Online Shop.
When staff and campus partners order paper for a campus printer, a discount code should be applied. The cost of this paper is included in the monthly print charges, based on user usage.
Please get in touch for the code you need.
If you require a whiter sheet for presentation purposes and/or colour management, you can order alternative paper supplies, at cost.
Along with many consumables right now, there is a paper supply crisis. Brexit, Covid and strikes at European paper mills have meant that in addition to prices skyrocketing, some supplies are being abruptly stopped.
The result is that our standard A4 office paper stock, Evolution A4, held in every swipe card printer across the Loughborough and London campuses is no longer available.
With support from our colleagues in the Procurement Team, we have been able to source new stock from Steinbeis Papier.
Steinbeis No. 1 is 100% recycled. Processed without any environmental harmful bleaching agents (chlorine, chlorine dioxide, or other halogenated bleaching agents) the paper is certified to Blue Angel and EU-Ecolabel. This paper can also be recycled after use.
With immediate effect, this paper has become the replacement stock supplied to all campus printers. The cost of paper in the Campus Printers is charged to staff and campus partners via the monthly print charges, based on user usage.
What do I do with empty toner cartridges?
Empty toner cartridges must be boxed up in the empty box from the new toner you have just loaded and dropped in the blue internal mailbag for us to collect when we next visit with your daily post delivery.
Ricoh has a Smart Return Service that we use to return all empty cartridges. Sending them out in bulk from the Herbert Manzoni Building ensures that we manage the number of vans to campus.
How much of the cartridge is recycled?
A total of 99% is recycled.
Are the returned cartridges being re-used?
It is possible that cartridges (or parts of it) are used in the production of new cartridges. Because of the high quality standards of original Ricoh cartridges the majority of the returned cartridges can not be reused.
What happens with the cartridges that are not being reused?
The plastic parts taken from toner cartridges are first pulverized, then melted, and molded into new plastic parts for reuse. This kind of closed- loop materials recycling, is one of the most effective recycling measures to help reduce waste while at the same time contributing to conserve natural resources.
What do I do with the old toners from the old printers?
Please drop them in to, or next to, the blue internal mail bag for us to collect and return to the supplier.
I don't have a staff or student account, can I use campus printing?
Yes.
Please follow the process for connecting as a campus partner or visitor.
To pay for print you will need to add print credits to your account. Instructions of how to add credits are available in our frequently asked questions section.
Once credits are live on your account you can use the 'Personal Account' button to pay for your print at the point of release.
Can I get a refund for prints that errored?
Yes you can. You can submit a request for a refund against a job through the new portal.
Login and go to Recent print jobs in the left hand menu.
Click on Request refund against each job listed.
You will need to provide a full description of what you think happened and why you want the refund to be approved.
Our team will look into your request and get back to you as soon as they can. They may need to request proof of incorrect prints if you have it and will email to request this
What is my Personal Account?
Your Personal Account allows you to add print credits and use the Campus Printers for personal printing that is not connected with your University activities.
NOTE: If you click on Personal Account, and you have not added print credits to your account, your print will not be released and you account may be locked. Please contact us to rectify this if you have problems.
I am a finalist student, can I get my print credit balance back?
Yes you can. Finalist students can claim for any remaining balance they have before they leave.

How do I add a new print queue as my default print option?
On your computer go to the start menu, and click on Settings
Click on Devices
Click on Printers & scanners (in the left hand menu)
Find the new print queue that you want to set as your default and click on it
Click on Manage
Click on Set as default
The printer won't release my print jobs, what do I need to do?
If a message comes up on the printer to say it cannot release your print jobs, it means that your account is locked becuase it has reverted back to being print credit payment and you do not have print credits loaded on to your account.
To unlock the account, log back into the printer and select Print Release
Press on the arrow on the right hand side of the print job line
Select the icon next to My Personal Account
Select the finance code that appears on the screen
This will revert your account back to being charged to an Agresso finance code.
Log out
Log back in again and you should be able to release your print job as normal.
Call us if this does not work.

Where are the Campus printers located?
There are over 200 campus printers across campus in accessible locations.
The following are the general access locations. Each of these locations can print A3 and A4 in either colour or black and white, except where noted.

How much does it cost to use the Campus printers?
The charges for printing are available from within the PaperCut Print User Portal and are updated annually according to ink and paper costs.
Scan to email and OneDrive is FREE.
Why do I see so many jobs paused in the print queue?
The print queue covers the whole of the Campus Printing service and all of its users, so you are not just seeing your print jobs.
The quantity of print jobs visible does not indicate the speed of the service.
How long are my jobs held in the print service before I release them?
Jobs are held in the system for 72 hours
We have been seeing some issues with jobs disappearing and not printing. This is believed to be a server based issue and is under investigation by Ricoh and PaperCut.
Printer Finishing Options
All of the Campus Printers are A4 / A3, can print in black & white and colour and can print both simplex and duplex.
We recommend, where possible, users select black & white and duplex to reduce print costs and support our sustainability agenda.

Staff print queues are financed using Agresso budget codes. Usage data is collected throughout the calendar month and processed to a single budget code per School / department in the final week of the month.
