We make hosting your event at Loughborough University easy. We don’t just sell a product; we create outstanding experiences with our event management support packages, ranging from delegate registration to full event delivery.

Planning and Coordination

We understand what it takes to plan and execute a great event and the time and resource that this can take, especially if event management is not your primary role. We can take care of your event, whether it’s simply supporting you with the planning stages or organising it fully on your behalf.

Delegate registration

Your delegates are safe in our hands. We’ll take care of your whole delegate journey, from registering their attendance and taking payments to managing accommodation, workshop preferences and specific requests. Local, national or international, we arrange visa letters and joining instructions, so your delegates are fully informed and ready for your event.

Abstract management

The success of any conference relies on the quality of content and paper submissions, yet this can be one of the most time consuming and difficult activities to coordinate. We provide support with the call for abstracts, collating submissions and communicating the verification.

Venue management

We take care of all venue operational requirements, both onsite and offsite. From menu selection, bedroom allocation and meeting space set-up, to AV requirements and Wi-Fi connectivity, we make sure the venue teams have everything they need to successfully deliver on your event. We also look after extra-curricular activities such as offsite dinners and excursions to local attractions

Logistics

We understand that delegates have quite enough on their plate managing their travel to and from the conference and don’t need the extra responsibility of arranging transport for excursions or local journeys. We can organise coach and taxi transportation for large and small groups around the local area, including group pick-ups from East Midlands Airport.

Marketing

We offer a range of marketing services for your event, ranging from a simple website advertising the conference programme and abstract submissions, delegate registration and sponsorship opportunities, through to more comprehensive branded email communications and delegate bags with branded literature and giveaways. We can also support your event with social media content and promotional collateral.

Exhibition and sponsorship management

Often exhibition activity and sponsorship can provide an event with vital additional funding. We will contact potential exhibitors and sponsors on your behalf and manage the booking process and stand logistics. We can also manage the payment process, taking away the time and resource from you as the organiser.

Event production and theming

With over 25 years’ experience of event delivery we have forged great relationships with event production companies and can provide comprehensive proposals for your event theming, entertainment and AV production. Having fully understood your brief and objectives, we will coordinate all the logistics on your behalf and bring your ideas to life.

Onsite support

We will be with you on the day of your event, setting up for the day ahead, manging delegate arrivals along with registration, name badges and handouts. We will also manage helpers on the day, assist and support guest speakers, be there to handle any questions and queries and be the main point of contact for all, allowing you and other organisers to enjoy a worry-free event.

Finance management and reporting

We will manage all finances for your event and handle all income from delegate registrations, exhibition and sponsorship fees. We will balance all event costs against this income and pay any surplus revenue to you post event. We will also give regular updates and budget reports in the run up and provide finalised accounts after the event.

Delegate feedback management

We will send out a survey on your behalf to collate delegate feedback on all aspects of the event. This will be a web-based survey that we can provide you with a link to give to your delegates, or we can send out on your behalf. We will provide a full survey report after the event.

From my point of view, organising the conference was nearly effortless. Imago handled almost all of it for me.
