Reporting pathways

Reporting is a key part of how the university addresses harassment and sexual misconduct. Whether you choose to make a formal complaint or simply share your experience, it’s important to know that you have options. Under the OfS E6 regulation, clear and accessible reporting pathways are in place to ensure that anyone affected can come forward safely and be taken seriously. You can choose how and when to report and get the right support.

How do I report an issue?

At the University, we are committed to creating a safe, respectful, and welcoming environment for everyone. Whether you are a staff member, student, or visitor, you have the right to feel safe and supported.

We do not tolerate bullying, harassment, sexual harassment, assault, hate, or discrimination of any kind.

If you or someone you know has been subjected to something concerning, you can use this portal to share what happened or to seek support.

Using this system does not mean you are making a formal report or complaint. It is a way for you to access support and get the information you need to decide what feels right for you.

If you do not wish to complete the reporting portal, you can email concern@lboro.ac.uk to outline your concerns and give us information. If you would like to speak with someone in person you can visit the Bridgeman Building during normal office hours or call security on 01509 222141.

You can also report concerns to your line manager, to a colleague in the HR department, or to a colleague you feel comfortable to share this with who will then talk to HR about the situation in terms of what the next steps maybe.

What happens when I report an issue?

We understand that it can be worrying not knowing what will happen after your report is submitted. It will be viewed by a member of our dedicated team of trained advisers and offered the most appropriate support based on the information you have given. Staff related issues will be forwarded to the university HR team who will assess the best next steps and get in touch with you. Student related issues will be forwarded to trained investigators within the Security department who will reach out to you. All matters are dealt with confidentially and with the upmost sensitivity.

Do staff and students report in the same way?

Yes, this can be reported through the online reporting tool.

Staff can also report these matters to their line manager, another senior manager or to the HR department.

What does reporting anonymously mean?

You can tell the University about any issues, concerning behaviour and/or situations by completing the online reporting tool and choose to remain anonymous by opting for this when completing the form. This means that the University does not see your name or student ID or Staff ID, however we can still   consider what you have shared, the seriousness of what you have shared and what, if any action the university can take.

Who can I tell or report this to?

You can report this to anyone who is able to support you. This could be your line manager, another senior manager, your hall warden, your personal tutor, your supervisor, a colleague from the University Security Team, HR or EDI Services.

Who does the University tell?

The university will act upon information received. This may involve talking with relevant agencies however, we will deal with all information shared sensitively and will, wherever possible only share with your consent.

This may require the information to be disclosed to an HR advisor, an appointed investigator and if the matter progresses through a formal process, those involved in the process. There are occasions where this may mean that the university needs to approach witnesses where they will only be asked about what they may have witnessed or been witness to and they will not be told all of the information you share with the university.

How is the reporting data used?

The University has to collect, monitor and publish data where this is likely to inform effective action to protect students from behaviour that may amount to harassment and/or sexual misconduct. This may include data relating to the prevalence of harassment and/or sexual misconduct affecting students. It may also include data about reporting, such as the number and type of incidents reported to the provider, how many of these lead to an investigation, and the outcomes from incidents and investigations.

Share information on an annual basis about the number of cases reported and outcomes to the Office for Students. This does not include any personal information so you cannot be identified from this.

The University will analyse data to identify trends in order to provide awareness training, support, or targeted intervention. The university understands the importance of monitoring data in this area for positive change to improve to the staff and student experience.

What is third party reporting?

This is where someone, other than the complainant either witnesses or becomes aware of a situation or incident which they want to bring to the attention of the university.

If I witness something, how should I report it?

If you witness something you are worried about or, if you are concerned about what to do, you can report it via the online portal or by emailing concern@lboro.ac.uk, and out of normal office hours you could consider reporting it to the University Security Team.

You can also talk to a person you trust which could be a colleague, a manager or a tutor and agree with them whether they report it on your behalf. For issues which are about how a staff member is behaving please also consider contacting the HR Team or EDI team.

What does zero tolerance mean?

Zero tolerance refers to the University position that prohibits specific behaviours, ensuring a safe, inclusive, and respectful learning and/or working environment. The policies are designed to prevent any form of violence or harassment.

What this doesn’t mean is that every case which is reported will result in the person complained about being dismissed from employment or terminated from study.

It means, you will be listened to, and appropriate action will be taken to resolve the complaint.
