How to apply for a student exchange

If you are a Loughborough University student who wishes to study or complete a traineeship overseas, please see below for application details.

How to apply for the ERASMUS+ exchange programme?

  • Check if your School/Department offers exchanges and has ERASMUS+ agreements with European institutions. You can do this by using the search engine in the "Locations" section.
  • Contact your School/Departmental Exchange Co-ordinator who will be able to offer you advice on where you can study (each School/Department has established specific links in Europe) and which modules you can take. He/she will also explain how your study period and/or traineeship will be incorporated into your degree programme.

    Please note that the School/Departmental Exchange Co-ordinators are asked to nominate students for study abroad and traineeships well in advance of the academic year in which the exchange programmes will be undertaken. It is, therefore, important that you have registered an early expression of interest. If you have not been nominated by your School/Departmental Exchange Co-ordinator, you might not be eligible to apply for ERASMUS+ funding.

  • When you are ready to make your application for ERASMUS+ funding, please follow the instructions in the relevant checklists (see S0 for study exchanges and T0 for traineeships).  Before completing and submitting your application, you are also advised to read the ERASMUS+ Application Handbook 2017/18

  • Download and complete the University's outgoing application form which can be found below. If you are undertaking a study exchange, you need to complete form S1. If you are undertaking a traineeship, you need to complete form T1. You must ensure that you submit your completed form to the Exchanges Office no later than the deadlines indicated below.

  • The Exchanges Office will acknowledge receipt of your completed S1 or T1 form and will let you know when you will be able to complete your learning agreement (form S3 for study exchanges and form T3 for traineeships).  It is recommended that you read the guidance notes below when you are completing your learning agreement.

  • Risk Assessments:  If you are undertaking a study exchange, it is mandatory for you to complete a Study Exchange Risk Assessment Form as part of your application.  Please ensure that you complete the form in conjunction with the guidance notes in the document entitled ‘Study Exchange Risk Profiling and Risk Reducing Actions’ which can be found below.                                                                                                                                        

    If you are undertaking a traineeship, your respective School/Department will provide you with a risk assessment form which must be completed prior to departure.

    For ERASMUS+ study exchanges and traineeships in the academic year 2017/18, the deadlines for completion of the documentation are as follows:

15 JUNE 2017 (for Semester One or full year exchanges) 

15 NOVEMBER 2017 (for Semester Two exchanges) 

The forms listed below are now available to download by students applying for ERASMUS+ study exchanges and traineeships for 2017/18.  Please note, however, that forms S4 – Certificate of Attendance and S5 – Confirmation of Practical Work are only applicable to students who are completing study exchanges in 2016/17.

How to apply for an international exchange programme

Students wishing to undertake an international exchange as part of an institutional exchange agreement should apply through their School/Department. You will not be able to apply directly to a host institution unless you are selected to do so.
