University ID cards frequently asked questions

Who is entitled to a University ID card?

All students, staff and authorised campus partners are entitled to a University ID card.

What is the purpose of my University ID card?

Your University ID card serves several purposes, including.

  • Personal identification
  • Library membership and borrowing access
  • Building access permissions
  • Travel on the campus shuttle service
  • Sports membership access

How do I use my University ID card?

To gain access to a building, hold your card against the card reader until you hear a beep.  The reader's LED light will then turn either green or red to indicate whether access has been granted.

How long does it take to produce a University ID card?

All cards are typically produced within two working days.

Replacement cards for active cardholders can usually be printed while you wait.

Do you provide temporary cards whilst mine is being produced?

Unfortunately, temporary cards are not available while a new card is being produced.

Can you take my photograph for a University ID card?

Unfortunately, the Card Desk is unable to take photographs for ID cards.

If you are unable to submit a JPEG photograph electronically, please contact the Card Desk for assistance. Please refer to the University's digital photo requirements before submitting your image.

How can I check whether I have the correct building access permissions?

If you believe your card does not provide access to a building that you should be able to enter, please email carddesk@mailbox.lboro.ac.uk and provide:

  • Full name
  • Staff/Student/Campus Partner ID number (printed on the front of your card)
  • Issue number (printed on the front of your card)
  • The building and location for which access is required

How do I use my University ID card for travel?

I have lost my University ID card. What should I do?

If your card has been lost, please request a replacement through via the online form.

How much does a replacement University ID card cost?

Lost cards - Replacement fee: £10.00 (card payment only)

Stolen cards - Replacement fee: £10.00 (card payment only)

However, a replacement card will be issued free of charge if a valid police crime reference number is provided.

Exchange cards - Cards being exchanged due to updates or corrections are issued free of charge, provided the existing card is returned at the time of collection.

My University ID card no longer works. What should I do?

Please email carddesk@mailbox.lboro.ac.uk and include

  • Full name.
  • Staff/Student/Campus Partner ID number (printed on the front of the card).
  • Issue Number (printed on the front of your card).
  • A brief description of the problem experienced (for example, the reader displayed a red light or did not beep)

My student card has the wrong expiry date. What should I do?

Please first contact the Student Records and Operations Team or your School Administration Team to ensure your student record has been updated.

Examples may include:

  • A recently approved Leave of Absence
  • An additional Part one year being added to your programme

Once your record has been updated, contact carddesk@mailbox.lboro.ac.uk to arrange a free exchange of your existing card.

I have paid for a replacement University ID card but found my old card, can I receive a refund?

Unfortunately, refunds cannot be issued.

For security purposes, the process of producing a replacement card automatically deactivates the original card.

If you subsequently find your old card, please return it to:

The card will be securely and confidentially destroyed.

I would like to update the photograph on my University ID card. What should I do?

Please email carddesk@mailbox.lboro.ac.uk and provide:

  • Full name
  • Staff/Student/Campus Partner ID number
  • Issue number (printed on the front of your card)
  • A new JPEG photograph

Once your replacement card has been produced, you will receive instructions on how and where to exchange your existing card free of charge.

My name has changed. How do I update my University ID Card.

Staff – Please contact hr.services@mailbox.lboro.ac.uk with details of your name change.  

Students – Please contact studentenquiries@lboro.ac.uk with details of your name change.

Campus Partners – Please contact carddesk@mailbox.lboro.ac.uk with details of your name change.  

Once your records have been updated, the Card Desk will produce a replacement card and contact you to arrange collection in exchange for your existing card.

Can someone collect my University ID card on my behalf?

Yes. If you would like another person to collect your card, please email carddesk@mailbox.lboro.ac.uk in advance and provide the name of the individual collecting it.

The person collecting the card must bring a valid form of identification when attending collection.
