Our flagship event, the Autumn Careers Fair at Loughborough University is the largest careers event of its type in the UK. Last year we attracted 260 exhibitors and over 6000 Loughborough students and graduates.

Careers Fair Booking Terms and Conditions

 

1. General

1.1 In these Terms and Conditions, the expressions shall have the following meanings:

a) The Event – the Autumn Careers Fair held on the Monday 21st October (2pm – 7pm) and Tuesday 22nd October 2019 (11am until 4pm) in the Sir David Wallace Sports Hall, Loughborough University, Loughborough.

b) The Organiser – Loughborough University Careers Network

c) The Exhibitor - the organisation named on the online Booking Form as the Exhibitor. 

d) The Booking Agent - any third party who has been authorised to book and attend on behalf of the Exhibitor. The Booking Agent does not refer to an individual directly employed by the Exhibitor. 

 

2. Stand details

2.1 A request to book an exhibitor stand is made through the online Booking Form. The Organiser will review this and endeavour to contact the Exhibitor or Booking Agent within 5 working days.

2.2 The Exhibitor or Booking Agent is responsible for ensuring the Booking Form is completed by authorised personnel. The person highlighted on the online Booking Form as the ‘Contact Name’ shall be considered the main contact for the Exhibitor. The main contact shall be responsible for provision of all further company information requested and be liable for payment of all costs incurred in respect of the facilities and services provided by the Organiser in relation to the Event.

2.3 It is the responsibility of the person booking the stand, on behalf of the organisation, to make the attendees aware of the rules set out in this document.

2.4 The Organiser reserves the right to refuse a booking for any reason whatsoever without liability.

2.5 By submitting the Booking Form, the Exhibitor is committing to attend the event and to pay the agreed fee. If the Exhibitor’s circumstances change and the Exhibitor needs to cancel, this is possible but this may incur a cancellation fee (see section below)

2.6 Upon confirmation of a space at the Event, the Organiser will reserve a stand for the Exhibitor.

2.7 If at any time prior to the date of the event the Exhibitor or Booking Agent wishes to amend their booking, the Organiser will endeavour to facilitate such changes.

 

3. Payment

3.1 The Organisers reserve the right to alter prices set out in any list at any time prior to acceptance of the Booking Form.

3.2 All charges shall be subject to VAT at the then current rate unless a VAT exemption has been agreed.

3.3 Full payment of the stand cost and where relevant – advertising costs, should be made online before the Event date.

3.4 The Organiser reserves the right to cancel a booking if payment is not made before the date of the Event.

3.5 Interest may be charged on late payment and the Organiser reserves the right to hold the Exhibitor liable for legal costs and any other expenses incurred in recovering outstanding monies. 

 

4. Stand details

4.1 Due to limited space, we reserve the right to refuse the erection exhibition materials which exceed the 3x2m space allocation. Please contact the Organiser in advance if your stand will exceed the given area.

4.2 If you are planning on bringing exhibition support materials such as cars, motorbikes, refrigerators, then the Exhibitor will need to submit a risk assessment prior to the event for approval.

4.3 The Organiser reserves the right to remove from display any exhibitor's material deemed unsuitable.

 

5. Car Parking

5.1   There is limited parking available at Loughborough University and it is advisable to car share wherever possible.  A free shuttle bus will be available throughout the day to take Exhibitors to and from the venue. This shuttle bus will take some time, so please plan that into your journey, arrival and set up time. More information about where to park will be sent to the Exhibitor in the joining instructions. Note that it is the responsibility of the booking agent to pass these details to the delegates

 

6. Electricity/Audio Visual/Sound Equipment

6.1 Exhibitors will be provided with power supply. The Exhibitor is responsible for securing all Exhibitor related cables and wiring within their exhibition area.

6.2 Any electrical equipment must be PAT tested and marked as such. Where there is question the Organiser reserves the right to refuse permission for the use of equipment.

6.3 No music may be played, or amplified sound permitted at the Fair without prior permission.

 

7.Health and Safety

7.1 All areas of the fair shall remain alcohol-free and visitors should observe the University's No Smoking Policy at all times.

7.2 If food or beverage is being given as part of promotional activities, the Exhibitor accepts full liability for any injury caused. Loughborough University will not accept any liability in this regard.

7.3 Visitors are not permitted to bring any item onto the University's premises that could endanger others (e.g. hazardous equipment such as gas cylinders, halogen gas or unmaintained equipment).

7.4 Pets and other animals are not permitted on any University premises. The only exceptions to this are guide dogs for the blind, hearing dogs for the deaf and other working dogs that assist people with disabilities.

7.5 The Exhibitor should not move any of the furniture provided at the stand without consulting the Organiser.  The Organiser will arrange for staff on the day to remove anything not required.

7.6 The Exhibitor is responsible for ensuring their stand area is fully set-up at least 15 minutes to the Event start time. Stands should not be taken down until the end of the Fair – 7pm on Monday and 4pm on Tuesday.

7.7 All Exhibitors are under a Duty of Care to report situations they believe to be potentially hazardous. In the context of fire prevention, this may be something which could lead to an outbreak of fire (e.g. unsafe storage of flammable materials) or something which would hinder the safe evacuation of the premises in the event of a fire (e.g. obstruction of fire escapes).

 

8.  Insurance

8.1 All Exhibitors attending the Event must hold full public and employee liability insurance.

8.2 It is the responsibility of the Exhibitor to ensure these insurance policies are in place. 

 

9. Indemnity

9.1  The Exhibitor shall indemnify the Organiser against all claims for loss or damage to the University premises and/or other University property during the event, where such loss or damage is caused by, or occurs as a result of, the actions or omissions of the Exhibitor or their employees.

9.2 Where adequate insurance is not in place, the Exhibitor should also be aware that their liability may extend to any damage or injury caused by agents acting on their behalf. 

10. Cancellation by the Exhibitor or Booking Agent

10.1 The Exhibitor or Booking Agent must notify the Organiser if they wish to cancel a booking for the Event in writing by emailing employer.services@lboro.ac.uk.

10.2 In the event of a cancellation the following charges are applied in line with the costs incurred by the Organisers: 

Cancellation within 24hrs of submitting the Booking Form

No charge

Cancellations received before 03/09/2019

No charge

Cancellations received after 03/09/2019

100% of the full agreed price + VAT

10.3 The charges above apply irrespective of the date the booking was made. e.g. Bookings made and subsequently cancelled after 03/09/2019 will be liable for the charges set out in section 10.2.

10.4 Where the Organiser has agreed no charge or a complimentary stand for an Exhibitor, a fee of £200 + VAT will be charged for any non-attendance or cancellation by the Exhibitor after 03/09/2019.

10.5 Full payment will still be required in the event of any non-attendance by the Exhibitor on the day of the Event.

10.6 Cancellation by a sponsorship organisation may incur additional charges relating to marketing redesign/reprint costs

 

11.  Cancellation by the Organiser

11.1    The Organiser may cancel the Booking Contract subject to a refund where indicated below but otherwise without any liability of whatever description for any loss on your part howsoever arising if:

  • The booking might, in the opinion of the Organiser, prejudice the reputation of the Organiser or if the purpose for which the Organiser is required or used differs from that described in the Booking Contract. In those circumstances you will be entitled to a refund of advance payments;
  • You are more than 30 days in arrears with payments to the Organiser in respect of any previous Booking Contract;
  • If the Organiser becomes aware of any adverse change in your financial situation since the date of the Booking Contract;
  • Either party becomes insolvent or, in the case of an individual, becomes subject to a bankruptcy petition or Administration Order;
  • Any part of the Organiser venue is closed or otherwise unavailable because of the events outside the Organiser control;
  • There are conflicting reservations.

11.2  If the Event is cancelled subject to the conditions identified in section 11.1, the Organiser will not be liable for any costs incurred by the Exhibitor, Book Agent or any other agent or third party they have employed on their behalf.

11.3 The Organiser shall not be liable to pay compensation for any loss sustained or inconvenience caused as a result, or in any way arising, out of the cancellation of the Event.

 

12. Advertising

12.1 Beyond the scope of the exhibition area the University premises must not be used by the Exhibitor, members of its party, their servants, agents or others authorised by them, for any advertising purposes, unless previously agreed in writing with the Organiser.

 

13.  Disclaimer

13.1 The Exhibitor is responsible for any equipment they bring onto the University campus.

13.2 Loughborough University does not accept any liability for the loss, damage or disappearance of any property brought onto the University campus by the Exhibitor in connection with the Event.

13.3 The Organiser shall not accept any liability in respect of death or personal injury to members of the Exhibitor, unless it is shown that the death or personal injury was due to the negligence of the Organiser or other persons authorised by the University.

13.4 The limitations in this section extend to employees, agents or other third parties authorised to attend the event on behalf of the Exhibitor.

13.5 Loughborough University reserves the right to decline a booking request for any reason whatsoever. 

 

14. Amendment of rules

14.1 The Organisers reserve the right to alter, add to, or amend any of these terms and conditions. Should any question arise, whether provided for in these conditions or not, the decision of the Organisers shall be final. No alteration, addition, amendment or waiver to or of these terms and conditions shall operate to release any Exhibitor from his contract.

TRAVELLING BY CAR

Loughborough’s nearest motorway link is the M1; the campus is just two miles from Junction 23. The University is clearly signed on all the other main approach roads to Loughborough.

Look out for the yellow directional signs for Exhibitors.

 

ON CAMPUS PARKING & SHUTTLE BUS

All parking for the Autumn Fair venue is at CAR PARK 1 on the West side of campus.

Please enter campus via the WEST ENTRANCE near Holywell Park (satellite navigation postcode: LE11 3GR or type 'Holywell Way, Loughborough' into your satellite navigation system).

Follow the directional signs for Exhibitor Parking to Car Park 1. You will receive a Visitors Pass given to you by the security team on arrival – please display this in your vehicle.

Once parked, you will be directed to the bus stop where you will catch a complimentary shuttle bus to take you to the event. The service will be running around campus to and from Car Park 1 to the venue at regular intervals (every 5 minutes) between 8.00am and 7.30pm.

 

UNLOADING

Please enter the campus via the East Entrance off Epinal Way (satellite navigation postcode: LE11 3TT).  Once inside the campus please follow the signs to the Sir David Wallace Sports Hall unloading bay. 

 

Once unloaded, you must park your car in Car Park 1 at the West Entrance.

To get to the car park, please leave the campus and follow the yellow signs posted outside of campus for Parking.  This is the easiest route to the West Entrance and Car Park 1. Please do not attempt to drive through campus as you are more likely to get lost.

Important

If you are carrying heavy promotional materials, please note that the venue is a long way from Car Park 1. Please follow the instructions above to the unloading bay first and then to parking.

 

 

 

TRAVELLING BY TRAIN

Regular Intercity services operate between Loughborough and other main line towns - including daily trains to and from London St Pancras International, 80 minutes away.

 Once at Loughborough's railway station you can either catch a bus or get a taxi.

 Kinch Number 7 Sprint bus – This bus runs throughout the day, every 10 minutes. The total journey time to the campus is 14 minutes. Single ticket costs £2.00.

 Once at the campus, you will need to get off at the Student Union stop. 

 You can also buy a combined train and bus ticket which incorporates the bus journey to and from the railway station. Just select Loughborough University Bus (XLO) when booking on websites such as Trainline and East Midlands Trains.

Taxis are normally available from the station and the journey should cost around £6/£7.

STUDENT HELPER SUPPORT

Student Fair helpers (in Orange T-shirts) will welcome you at Car Park 1 to help guide you to the shuttle bus service and to the exhibition venue.

 Student helpers will also be available to help with unloading at the venue and with any queries.

 

COURIERS/DELIVERIES AND EXHIBITION COMPANIES

All Delivery drivers once they have set up their stands must park their vehicle at Hollywell Drive.

Monday 22nd October – from 12 noon. All goods must be collected by 8pm.

Tuesday 23rd October – from 9am and all goods must be collected by 5pm.

 

EARLY DELIVERIES

Early deliveries can be sent up until 5pm on Friday 19th October. Deliveries made after this time will not be transported to the venue.

COLLECTIONS

 COMPANIES EXHIBITING BOTH DAYS CAN LEAVE THEIR STANDS IN THE VENUE READY FOR THE NEXT DAY.

 Employers exhibiting on Monday 21st ONLY must collect their materials and vacate their stand by 8pm on Monday the 21st.

 Employers exhibiting during both Monday the 21st and Tuesday the 22nd will not have to dismantle their stands on Monday.  All stands exhibiting both days will have to vacate their stands by Tuesday the 22nd by 5pm.

 Employers exhibiting on Tuesday 22nd ONLY must collect their materials and vacated their stand by 5pm on Tuesday the 22nd.

 

FACILITIES

You will be provided with a space measuring 3m by 2m for your stand, two chairs, a table and a power supply.  WiFi is available in the building however your system needs to be able to connect to it and responsibility for this is not placed on the organisers of the fair. The Wifi Code for use during the Fair will be given to you on the day in your Exhibitor pack.

 

REFRESHMENTS

Tea, coffee and water are located on the balcony in the Exhibitor Refreshment Area at the venue. Refreshments will be available throughout the day.  Please help yourselves.

 

LUNCH

Monday

An afternoon tea selection of sandwiches, savoury tarts and cakes will be served between

2:30 -4:30pm at the Towers dining area, a building a short walk away from Sir David Wallace Sports Hall. 

Student Helpers wearing orange T-shirts will be there to direct you to the Afternoon Tea venue.

Tuesday

A buffet lunch will be served at James France, a building a short walk away from Sir David Wallace Sports Hall. Student Helpers wearing orange T-shirts will direct you.

Lunch will be served from 12:00 – 14:15.

Exhibitors will be given a lunch ticket with a time slot for each person on the day. 

Lunch Costs

The cost for four tea/lunches is included in the overall stand charge for attending the fair and any extra tea/lunches needed can be purchased on the day at the venue. 

Please note that payment will be taken at the point of purchase on the day of the event.

PORTABLE APPLIANCE TESTING (PAT TESTED)  

All electrical appliances being brought onto campus will need to have a sticker to show that it has been PAT Tested. This is to comply with the University’s electricity at work policy.  If the equipment has not been PAT Tested and does not have the relevant sticker then it should not be used.  Please ensure you adhere to this policy and all your equipment has been tested to avoid any issues on the day.

SOCIAL MEDIA & EVENT PROMOTION

We will be using our main social media feed @LboroCareers to extensively promote our Autumn Careers Fair on Twitter with the designated hashtag #LboroCareersFair19.

We will send out a number of tweets prior to the event to promote the Fair and encourage our students to attend. On the day, we will be taking photos and videos of the exhibitors to share with our 5000+ followers.

Feel free to contribute to the publicity of the event by tweeting us and including our handle and hashtag.  We will happily retweet any tweets we receive prior to and during the event.
