How to promote your events on the University website

If you are a staff member or student hosting an event and would like to use the University’s webpages to promote it, there are a few things you need to know.

Anyone can submit an event item by filling out a short form here. The form asks for the following information: 

  • Name of event 
  • Date, time and location 
  • Description 
  • Booking details 
  • Contact details 

You will also be asked who the audience is. If the event is open to staff and/or students only, it will go on our internal listings. If the event is open to the public, it can also be put on our external events listings page.

It is worth noting that we cannot promote events that are not led by or in partnership with the University (or your School/Department/Student Group), or events that are only open to a select group of staff or students.

Events listings also feature in the weekly staff and student newsletters, as well as the ‘This Week at Loughborough’ (TWAL) Instagram stories and blog. Please contact digital@lboro.ac.uk if you want your event featured in TWAL. 

Once an event has been submitted, the team will receive an alert and publish shortly after. Wherever possible, please submit your form at least two weeks before the event is due to take place.  This is to ensure that the event can be promoted through the various communications channels.  

If you need a booking form for your event, IT Services recommends Microsoft Forms over Gecko and Eventbrite. This comes as part of your Office 365 package through the University.

If you are submitting an external facing event, you will need to submit a high-quality, landscape image (ideally sized to 960px x 540px) with minimal text that you have the permission to use for promotional purposes.
