Automatic Email Lists

School, Department, Programme, Module, and Hall Mailing Lists

There are a wide variety of mailing lists available to staff and students on campus. These mailing lists are maintained on a daily basis and hence should contain up to date information.

Access to automated mailing lists is restricted.

Who can use mailing lists?

 

List Type

Who can use these lists?

School Lists

  • Staff in the school can send to the relevant school list. For example, sci@school.lboro.ac.uk.
  • Members of sub school lists (e.g. sci-ua@dept.lboro.ac.uk) can mail to those lists. Staff in the school can mail to all sub school lists.

Department Lists

  • Staff in the department can send to the relevant department list. For example, cm@dept.lboro.ac.uk.
  • Members of sub department lists (e.g. ttua@dept.lboro.ac.uk) can mail to those lists. Staff in the department can mail to all sub department lists.

Programme Lists

  • Any member of staff.
  • Any student on the programme. Note that students must be on the relevant programme to send mail to the list.

Module Lists

  • Any member of staff.
  • Any student on the module. Note that students must be on the relevant module to send mail to the list.

Hall Lists

  • Access is controlled by a separate list - membership of which is approved by the Hall warden.

Whether or not you are allowed to use a list, no error message is produced on sending of email.

It is strongly recommended that readers not interested in mailing lists do not use mailing lists as an official guide to determine whether students are on a specific module or programme, but access information from official University sources i.e. Corporate Information Services.

School Lists

The domain name for these lists is school.lboro.ac.uk. Typically list names are made up from the school short name prefix followed by a hyphen  and then the sub-list part. Mailing to sci@school.lboro.ac.uk will send to all staff and research postgraduates in sci, but excluding taught course postgraduates and undergraduates. Mailing to sci-ua@school.lboro.ac.uk will send to all part A undergraduates in sci.

Please note the existence of a separating hyphen in school lists which does not exist in the departmental lists. This is necessary because the school short name prefix is not of a set length (unlike the department code which is always 2 characters).

For student lists, the first school short name prefix is followed by a hyphen and then a status code, e.g. sci-ua@school.lboro.ac.uk refers to all Part A undergraduates (usually first year) in sci.

The status is extracted from Student Records information. A list of the main status codes is given below:

  • ua Part A undergraduates (normally first year).
  • ub Part B undergraduates (normally second year).
  • ui Year in Industry.
  • uc Part C undergraduates (normally final year).
  • ud Part D undergraduates (fourth year final year).
  • p Taught postgraduates.

A merging of the sci-uc and sci-ud lists will give you a list including finalists, though in some cases sci-uc lists will include people going on to a fourth year. Note that there are a few sci-ue groups.

There are also a few sci-un groups. These normally refer to Socrates students - such students will not appear on the normal sci-ua First Year lists and should be sent email via the sci-un lists.

Prior to the recent changes in staff grading structure at the University the status was also extracted from Personnel data so that there were separate lists for Academic and Academic Related staff. The new job family codes do not map onto the same sets of people as the old status codes. Staff school lists follow the same pattern as staff departmental mailing list.

  • The sci list - this list includes all staff and research postgraduates in the school, but excludes taught-course postgraduates and undergraduates.
  • The sci-r list - which is the list of research postgraduates in the school.
  • The sci-staff list - which is the list of all staff within the school excluding research postgraduates.

Staff in administrative sections are not in any of the schools and therefore will not appear on any school list. See school lists to access the lists available for each school.

Department Lists

The domain name for these lists is dept.lboro.ac.uk. Typically list names are made up from 2 or more characters beginning with the 2 letter department prefix. Mailing to cm@dept.lboro.ac.uk will send to all staff and research postgraduates in Chemistry, but excluding taught course postgraduates and undergraduates. For administrative sections, a section name is used instead of a departmental name e.g. fn is the Finance Office.

For student lists, the first two characters are followed by a status code, e.g. cmua@dept.lboro.ac.uk refers to all Part A undergraduates (usually first year) in Chemistry.

The status is extracted from Student Records information. A list of the main status codes is given below:

  • ua Part A undergraduates (normally first year).
  • ub Part B undergraduates (normally second year).
  • ui Year in Industry.
  • uc Part C undergraduates (normally final year).
  • ud Part D undergraduates (fourth year final year).

  • The xx list - this list includes all staff and research postgraduates in the department, but excludes taught-course postgraduates and undergraduates.
  • The xxr list - which is the list of research postgraduates in the department.
  • A new list called xxstaff which is the list of all staff within the department excluding research postgraduates.

Programme Lists

The domain name for these lists is programme.lboro.ac.uk. Typically list names correspond to programme codes, programme parts, and sandwich information. You can then send email to the list name followed by the domain name e.g. PHUB02AS@programme.lboro.ac.uk.

The programme names consist of the programme code (e.g. PHUB02) followed by the part (e.g. A (undergraduate part A), B (undergraduate part B), R (postgraduate Research)).

The sandwich course information is S for sandwich and N for non-sandwich.

The sandwich information can be omitted from the list name. Hence sending email to PHUB02B@programme.lboro.ac.uk will send email to all students on part B of the PHUB02 programme whether they are sandwich students or not. Programme names can be abbreviated to the six character programme code part. Hence sending email to PHUB02@programme.lboro.ac.uk will send email to all students on programmes beginning PHUB02. Module Lists

The domain name for these lists is module.lboro.ac.uk. Typically module names are direct copies from the module lists. You can then send email to the list name followed by the domain name e.g. 97elc035@module.lboro.ac.uk.

The 3rd and 4th characters in the module name correspond to the department code.

If there is more than one instance of a module, then there will be a list for each module instance plus a list for the overall module name. The format for a module with an instance is the module name followed by an underscore and the instance number. For example, if module 97elc035 has two instances (1 and 50) then there will be three module lists produced:

  • 97elc035_1@module.lboro.ac.uk for instance 1,

  • 97elc035_50@module.lboro.ac.uk, for instance 50.

  • and 97elc035@module.lboro.ac.uk for all instances.

Hall Lists

The domain name for these lists is hall.lboro.ac.uk, hence authorised staff and student may send email to everyone in a named hall. See Hall lists to determine who is in each hall.
