my.HR is a secure web-based employee self-service facility that gives staff direct access to their own personal information and job-related details as held by Human Resources.  my.HR is generally available 24 hours a day, 7 days a week* both on and off-campus, via the following link https://myhr.lboro.ac.uk and employees** can login using their university username and password.

New Version 2014:

The iTrent team have worked closely with the software suppliers to deliver a completely new look and feel during November 2014. A number of enhancements are included with some specific improvements in the Learning section to help staff search and book onto training sessions.  Help text in the form of (?) bubbles are also included to explain system features.  Training providers will also be able to “deep link” into my.HR to directly advertise specific sessions all of which are intended to make the system much easier to navigate.

*The system is routinely available 24 hours a day/7 days a week although there will be times when it is unavailable for maintenance reasons and a warning notice will be displayed upon login

**Eligible employees include all staff paid via the monthly and 4 –weekly payrolls along with University Teachers paid via the claims payroll.

What can I use my.HR for?

my.HR enables employees to review their data periodically and ensure it is up to date; it improves transparency and contributes to reducing the University’s carbon footprint.  It enables staff to access information under the following sections:

Personal Details

  • Add or amend contact details
  • Add details of any special requirements they may have in attending training. E.g. disability, allergy, dietary requirements or mobility constraints that may affect your attendance or require reasonable adjustments to be made. Please note that this isn’t intended to include sensitive medical information and any information provided here will be routinely shared with training providers.
  • View or update equality and diversity data


  • View absence data


  • Submit expense claims for time worked (University Teachers only at present)
  • View and download online payslips and P60s (past 3 years)

Employment & HESA

  • Update HESA personal data
  • View details of your current role (job title, contractual hours, reporting manager, appointment start)


  • Browse and book onto University run training and development opportunities within our University providers*** (Providers include Staff Development, Centre for Academic Practice, Health & Safety, Facilities Management)
  • Add details of Personal Learning events (related training not provided through Loughborough University)
  • View a history of training courses attended (over 10 years data where applicable)


***Employees who do not have access to Learning (training and development) through my.HR may still be able to access such opportunities.  In this situation, the individual should first discuss this with their line manager and the relevant training provider.

Data I cannot change in my.HR

If you have any queries regarding the information that is recorded for you, we ask that you initially raise this with your Line Manager or your departments' HR Adviser/HR Officer.

If you have any information that is incorrect that you cannot change yourself (e.g. job title or sickness record), please do the following:


If your job title is incorrect - go to your Head of Section, who in turn will liaise with their HR Officer to get it changed.


If your reporting manager (line manager) is incorrect - go to your actual line manager and they should contact the HR team.


If your sickness record is incorrect - please go to your absence clerk and/ or your line manager to request changes. Help in changing this in the system can be sought by emailing the admin.


If your new banking sort code is not recognised by the system - contact payroll on payroll@lboro.ac.uk


You will not be able to cancel your place on Welcome to Loughborough, as this is a mandatory course; however should the date booked be unsuitable, please contact Staff Development by email at sd@lboro.ac.uk and rearrange your booking directly.
