Microsoft Office 2007 Introduction Handout

Welcome to Microsoft Office 2007

We shall look at Microsoft Word as that will give us all of the information we need.

The first thing to notice is that the menus have disappeared, the toolbars have disappeared, and instead we have this ribbon of toolbars with tabs on it, and everything seems to have moved about.

Quick access toolbar

The first thing to notice is that the world's most important button: the Undo button [undo], is available near the top left, and its less important Redo or Repeat button [redo] is available next to it, and the second most important button, Save [save], is available here no matter what we do.

The next question is, "Where's our File menu?" If we click on this Office button at the top left, we get something very similar to the File menu. We've got Recent Documents, New, Open, Save, Save As, Print, Send, etc. and, indeed, Exit Word, and this is always available to us.

Tabbed Ribbon - Home

Other options are available from this tabbed Ribbon. The Home tab is selected by default.

So we can change Bold, and change the Font, and so on. Many of these options have an Expand button at the bottom right. If you click on the Font expand button, it shows you, in this case, the Font dialogue box.

Similarly if you click on the Paragraph expand button you get the Paragraph dialogue box. So you get all of the options, rather than the most useful ones available in the Ribbon.

We also have tabs Insert, Page Layout, References (useful for books and Theses), Mailings (Mail Merge), Review (showing Tracked Changes as it used to be called), and View.

The Reference tab contains Table of Contents, Footnotes and Endnotes, Citations and Bibliography, Captions (including Table of Figures and Cross References), Indexes, and Tables of Authorities (including Citations).

If I choose to Insert a picture (using Insert tab then Picture) for example, and then select a picture, then you'll notice that a new tab appears:

Picture Tools Format for me to amend the picture. If I click away from it, it disappears. If I re-select the picture it re-appears. Similar things will happen with Tables and with Charts.

Text toolbar

If I select some text and move the mouse over it, a "ghostly" toolbar appears.

It becomes non-transparent as you move the mouse over it:

We can move to the most common things you might want to do with your font, make it Bold or Italic, set the alignment, change the background colour or the font colour, increase the size, decrease the size, indentations, numbered and bulleted lists. If the pop-up toolbar won't appear, if you right-click the selected text, the pop-up toolbar does appear. The advantage of this is a small one: you don't have to go to the top of the screen to change Font and Formatting options.

View options

The View options are over at the bottom towards the right-hand corner:

Print Layout, Full Screen Reading, Web Layout, Outline, Draft (what we used to call "Normal"). [They were bottom near the left-hand corner.]

You knew where everything was in Word 2003, and now everything's changed.

The thing to do is to use Microsoft's Emulator (http://office2007.lboro.ac.uk/where.html) to show you where things are in the new system. After a short while you should be used to the more common ones.

If you don't know where it was in Office 2003, press F1 or use the Word (or Office) Help system (the blue question mark top right).

Configure Quick Access Toolbar

Any of these buttons from the Ribbon, if you use them an awful lot, you can right-click and Add to the Quick Access Toolbar, to make them appear next to Save, Undo, and Repeat.

If we click the drop-down option next to Quick Access Toolbar, the following menu is displayed:

... and there are other options you can add here. A menu appears containing New, Open, Print Preview, Spelling and Grammar, and more.

Using the Ribbon without a mouse

If you press the Alt key on its own, then "key tips" appear next to the options on the Ribbon:

An F appears next to the Office button, 1, 2, and 3 appear next to the first, second, and third buttons on the quick access toolbar (Save, Undo, and Redo respectively - note that 3 - Redo is greyeed), H appears next to the Home tab, N next to Insert, P next to Page Layout, S next to References, M next to Mailings, R next to Review, and W next to View. You can, by the way, press Esc (the Escape key) to clear these letters from the display.

Press the relevant letter to get the relevant option. Thus Alt and then F opens the Office button menu - when you get used to this, Alt+F will do the job even more quickly. Similarly Alt+H goes to the Home tab.

Once a particular tab (or the Office menu) is selected in this way, further letters appear. For example, for the Home tab some of the letters are shown below:

For example, V for Paste, X and C (greyed) for Cut and Copy respectively. Sometimes two letters are shown, such as FP for Format Painter. You can press the letters in turn to get the relevant option, so press F and then P for the Format Painter. Don't forget that F then P only works once this mechanism is started and the Home tab has been selected. So to get the Format Painter started from scratch, you need Alt H F P, or Alt+H F P.
