Changes to the Expenses Policy
Changes to Expenses Policy – Travel & subsistence scale rates
Effective: 1 June 2018
An alternative to claiming expenses for meals based on receipts is to use a scale rate. HMRC bench mark rates are set as follows.
Minimum time away from office Maximum amount of meal allowance
5 hours £5
10 hours £10
15 hours (and ongoing at 8pm) £25
Withdrawal of the “staying with friends and family" scale rate of £25 per night
When an employee spends a night away from home whilst on business, he may choose to stay with a friend or relative instead of staying in a hotel. The employee may incur the cost of an evening meal. The employee is entitled to a deduction for a qualifying expense incurred while staying with family or friends.
Some years ago HMRC withdrew the £25 per night scale rate and it is necessary to bring our expenses policy in line with HMRC scale rates. As a result, the “staying with friends and family" scale rate of £25 per night is being withdrawn.
More detailed information will be available in the Expenses Policy document which will be updated with effect from 1 June 2018. However, if you have any queries about these changes please contact Frazer Holmes the University Tax Manager on 222079 or by email to J.F.Holmes@lboro.ac.uk.
