How do I know if I'm eligible to graduate?
Students who are eligible to graduate and who are nearing the completion of their programme will receive an invitation email from the Graduation Office in March (for the July ceremonies) or in October (for the December ceremonies). If you do not receive an email and you believe that you are eligible to graduate, please contact the Graduation Office. The invitation email will contain details of arrangements for the graduation ceremonies including a link to the online reply form which MUST be completed. You should complete the reply form even if you do not intend to attend your graduation ceremony. In order to graduate in at the next ceremonies, you must
- have successfully completed your programme of study and settled your student account three weeks before the ceremonies start (please remember to leave longer if paying by cheque).
- ensure that your results have been published at least two weeks before the start of the ceremonies
Results and Pass-lists
For Taught Undergraduate and Postgraduate students: Your results will be published online at http://www.lboro.ac.uk/myresults two days after your programme board. If this page states that your results have not been published because your balance is not clear then you must contact the Finance Office immediately.
For Research Students: Please contact the Research Student Office if you are unsure whether or not your results have been published.
Student Accounts
It is University policy that students who owe money to the University cannot graduate, this includes library fines or books outstanding. Therefore, you must ensure that your student account is clear by the last day of term. Please note that you should allow 14 days for cheques to clear and 2 days for all other methods of payment. Until you have cleared your student account, you will not be able to graduate.
What is the time and date of my ceremony?
The ceremony dates and times are organised according to your department. To see a list of the departments and the times when they will be graduating click here.
Should I wait to find out if I have passed before booking to attend?
No! It is very important that you reply to us before the deadline indicated in the invitation email. If you do not reply before this date we cannot guarantee you a space in the ceremony. Requests for additional guest tickets are noted on a first come first served basis, therefore it is best you reply as soon as possible.
What should I do if I have not received an invitation?
Please make sure that you are eligible to graduate, including paying all your debts to the university. If you are eligible then please contact the graduation office.
Can I complete a paper reply form instead of the online form?
You can either print off the online reply form and send it to us, or come to the Student Enquires Counter, in Rutland Building where we can take your request..
Which ceremony do I attend if I am a joint honours student?
Joint honours students should attend their home school (the school which administers your course).
What happens if I have submitted an appeal?
You should still complete and return your reply form so that we know you are planning to attend.
Normally the timescales involved are very tight and it is rare for appeals to be fully resolved ahead of the degree ceremonies. Therefore, if your appeal is regarding your degree classification, then we recommend you attend your ceremony. You should note that this will not prejudice the consideration of your appeal.
If your appeal is subsequently upheld and results in a change to your degree classification you will be issued with an updated transcript and certificate. Should you wish to attend another degree ceremony you will be permitted to do so - please contact the Graduation Office to make the necessary arrangements.
What do I do if I can’t make it to the ceremony? Can I come at a different time?
You are able to defer your graduation for up to a year. Please check the dates of future ceremonies and email or write to the Graduation Office to inform them that you wish to defer your graduation.
How long is the ceremony?
The ceremony last approximately 90 minutes but please leave plenty of time for departure as there will be a lot of people on campus.
How much does graduation cost?
Attendance to the graduation ceremony itself does not cost you or your guests anything. However you cannot graduate unless you are wearing the appropriate academic dress which must be bought or hired from Ede & Ravenscroft. The price for gown hire is approximately £40, all information about the gowns can be found here.
What is the order of the ceremony?
Firstly it is very important that Graduands and their guests are seated 15 minutes prior to the published start time. The ceremony will begin with the procession where all of the university officers, honorary graduates and the chancellor will process in, in full academic dress. The Chancellor will then declare the congregation in session, this will be followed by the Vice-Chancellor's or Provost's address. Each student will then be led up to the stage, their name will be read out and they will walk across the stage to shake the Chancellor's hand and receive their degree certificate. There may also be the conferment of Honorary Degrees and University Medals. Once all the students have received their awards, the Chancellor will address the congregation and close the proceedings. The procession will then leave the hall followed by the graduates. Full details of the times and order of the ceremony can be found here.
I am not attending my ceremony, can I have my certificate yet?
We are unable to release your certificate until after the ceremony date. You can either chose to collect your certificate from the Graduation Office or alternatively make arrangements for your certificate to be posted to you. Further information on the options available is online here.
Will information about my award be published?
Yes, information about the award you recieve will automatically be published and be available online. Further information on how your data will be used and how to opt-out is available online here.
I’ve missed the deadline for replying but I want to attend, what should I do?
Let us know as soon as possible. Although we cannot guarantee you a place in the ceremony we will try our hardest.
I completed the online reply form but I have not heard anything since. What should I do?
We very rarely send out confirmation emails, especially before the deadline for replies. However you should receive an email confirming your attendance and the number of guest tickets you have been allocated at least 10 days before the ceremony. If you still have heard nothing from us by then please contact us as soon as possible.
I have replied to say that I can attend the ceremony but I now cannot. Do I need to tell anyone?
Yes, please let us know as soon as you can. At the same time you can also make the arrangements for posting your certificate.
I am not sure if I have any debts outstanding to the University should I check?
Most definitely, you will not be eligible to graduate if you have debts outstanding. Please check with the Finance Office on +44 (0)15109 223538 and the Library on +44 (0)1509 222353 to make sure your account is clear.
I need more guest tickets. What should I do?
We can guarantee all Graduands two guests tickets for the December ceremonies and two guest tickets for the July ceremonies but we cannot guarantee any more. Please let us know if you would like more tickets either by email or through the booking form. We will make a note of your request and try to accommodate your wishes if there are any additional seats. We will not be able to tell you if you will receive additional tickets until 10 days before the ceremony.
I do not need all of my guest tickets, what should I do?
Please let us know, this way we can keep a more accurate record of how many people will be in the hall.
When can I get my tickets?
Tickets will be sent to you by email approximately 10 days before the ceremonies. Please ensure you enter your personal email address on the reply form.
Does the person graduating need a ticket?
Each Graduand will receive an e-ticket by email (with the guest tickets attached). Please bring a hardcopy of the e-ticket with you and register at the desk in the foyer of Martin Hall Theatre where it will be swapped for a seating card for the graduating student and separate guest tickets. Please make sure that you sit in the chair indicated on the seating card.
What do I need to have with me for the ceremony?
- Your printed e-ticket (which is then swapped for a seating card at the desk in the Martin Hall Theatre foyer).
- Your booking confirmation from Ede and Ravenscroft for your academic dress which is collected on the day from the Martin Hall Theatre.
- Any other advanced booking confirmations that you have, such as for the photographers.
What should I wear?
The occasion is a formal one so you should dress appropriately. Both men and women are advised to wear a top with buttons, such as a shirt, so that the hood of the gown can be attached more securely. During the summer ceremonies it can be very warm so please dress accordingly.
Do I have to wear a gown?
Yes you must. You will not be allowed to graduate if you are not wearing full and appropriate academic dress. Robes can be ordered online from Ede and Ravenscroft full details of the Academic Dress can be found here.
Where do I collect my gown?
The representatives from Ede and Ravenscroft will be available from 8.15 am in Martn Hall Theatre. Please make sure that all gowns are returned by 6pm on the day of your ceremony.
When do Graduands have to be seated?
We recommend that you plan to be in your seat, in academic dress, half an hour before the ceremony is due to start having collected your seating card. The extra time allows time for traffic jams and queues etc.
When do guests have to be seated?
It is best for guests to also take their seat 30 minutes before the ceremony is due to start. Again this leaves plenty of time for unforeseeable delays.
Can children attend the ceremony?
Yes children and babies can attend the ceremony however they will require their own guest ticket in order for us to comply with health, safety and fire regulations.
Can I take photographs during the ceremony?
It is best if graduands do not take cameras or bags with them to the ceremony, however it is fine for guests to take photographs as long as they remain seated.
What refreshments/food are there available?
There is a wide range of food and drink available on the day. As well as the services provided by the Martin Hall Bistro there are also additional events especially for graduation, details of these can be found here.
Can provisions be made for Graduands/guests with individual requirements?
We promise to try our hardest to accommodate the needs of all Graduands and guests. Please let us know as soon as possible of any individual requirements you may have.
How do I get to the University?
Full details of the best routes into the university and public transport links can be here.
Where do I park on the day?
Please enter the Campus via the Holywell Entrance where Security and parking personnel will be present to guide you to the car parks. There will be regular coaches running all day between the car parks and the Sir David Wallace Building to take you to the ceremonies. There will also be spaces available near to the hall for those who require disabled parking bays.
Can I have a copy of the programme?
Graduands and their guests will receive a copy of the programme on their seat in the hall for them to keep. Additional programmes can be requested, there is only a limited number of surplus copies so we may not be able to accommodate your request.
Who do I contact if I have a query not covered here?
